Overview

We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! This vital role combines front desk responsibilities with comprehensive administrative support, ensuring smooth daily operations and exceptional customer service. The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills, ready to handle a variety of tasks with enthusiasm and professionalism. This paid position offers an exciting opportunity to develop your office management skills and contribute to a positive workplace environment. We are also looking for individual who are always willing to learn and grow as a dental healthcare advocate and as a person.

As a dental team, we pride ourselves on putting our patients and each other first. Our patients are wonderful and are treated like family. The staff is amazing and works beautifully as a team.

Duties

Greet visitors, patients, and vendors warmly and professionally, creating a welcoming atmosphere at the front desk
Assist patients with filling out their forms
Manage multi-line phone systems efficiently, directing calls accurately and courteously using proper phone etiquette
Handle scheduling, calendar management, and appointment setting for staff and patients
Confirmation and courtesy calls for pre-appointed patients (1 week prior)
Follow up on no shows and cancellations
Follow up on unscheduled and past-due patients
Update patient charts: phone numbers, change of address, e-mail address, name changes, insurance, and employment update using patient management software (Dentrix) as well as other productivity software
Assist with office management duties including filing, organizing documents, and maintaining office supplies
Provide excellent customer service by responding promptly to inquiries via phone or email, ensuring patient communication is clear and professional
Collecting payment
Billing insurance

Experience

Proven clerical experience in an office environment with strong organizational skills
Familiarity with office management tasks including filing systems, data entry, and document proofreading
Proficiency in patient management software; especially Dentrix) and Microsoft Office Suite (Word, Excel, Outlook)
Experience handling multi-line phone systems and demonstrating excellent phone etiquette
Knowledge of medical or dental receptionist duties is a plus but not required; training will be provided for specific industry needs
Personal assistant or front desk experience that demonstrates strong organizational skills and time management capabilities
