Job Description

The Account & Operations Coordinator keeps Yuit Communications running smoothly from three directions at once: managing day-to-day office operations, providing direct administrative support to the Director of Client Services, and coordinating projects across account teams. This role suits someone highly organized who enjoys variety, moves easily between big-picture scheduling and small-detail follow-through, and wants visibility into how a client services team and an agency office actually operate.

Key Responsibilities:

Assistant to the Director of Client Services

Manage calendar, scheduling, and meeting coordination for the Director of Client Services.
Prepare correspondence, reports, and presentation materials as needed.
Track action items and follow-ups from client and internal meetings, and help ensure deadlines are met.
Serve as a liaison between the Directors, Executive Assistant, account teams, helping information flow smoothly in both directions.

Project Coordination

Support Project Managers and Account Managers in tracking project timelines, deliverables, and status updates.
Help maintain project documentation and keep cross-departmental communication organized and current.
Help monitor project budgets and hours, flagging discrepancies to the appropriate team lead.
Escalate issues when necessary while maintaining professionalism and client confidence.
Work closely with production and media teams to ensure campaign assets are organized, approved, and delivered on schedule.
Open and assist in managing projects within the agency’s project management system, assigning tasks and monitoring progress.

Office Management

Oversee day-to-day office operations, including supplies, vendor relationships, and general upkeep of a professional workspace.
Coordinate facilities and IT needs with outside vendors and internal team members as they arise.
Greet visitors and clients, manage incoming mail and shipping, and serve as a first point of contact for the office.
Support internal events, meetings, and team gatherings, including logistics and vendor coordination.

Qualifications:

2+ years of experience in office administration, executive support, or project coordination, ideally in an agency or professional services environment.
Strong organizational skills with the ability to manage multiple priorities and shifting deadlines.
Strong proficiency with project management tools (e.g., Workamajig or Productive.Io) and the Microsoft/Google Suite preferred.
Clear, professional written and verbal communication skills.
A proactive, detail-oriented approach and comfort working across departments in a fast-paced creative/marketing environment.
Bachelor's degree preferred, or equivalent professional experience.

Compensation & Benefits
