Office Administrator

Pay: $27.00–$29.00 per hour

Job Description

Wells & Company Builders is seeking an Office Administrator to join our team.

The Office Administrator is a key support role within our small but growing residential construction company, providing day-to-day administrative and executive support that helps keep the business organized, responsive, and moving forward. This role works closely with the President and serves as a central point of coordination across scheduling, new client inquiries, hiring, marketing, office administration, and team support.

A significant part of the role is managing up — keeping the President organized, maintaining his calendar, tracking priorities and follow-ups, preparing for meetings, and helping turn ideas and conversations into actionable next steps. The role also manages the initial coordination of prospective clients from inquiry through the Pre-Construction process, assists with marketing and client-facing materials, and provides general administrative support to the team and office.

The ideal candidate is organized, proactive, personable, detail-oriented, comfortable managing competing priorities, and willing to take ownership of whatever needs attention. Some days may involve preparing a client presentation or coordinating a new lead; others may involve scheduling meetings, screening candidates, ordering crew apparel, or making sure the office and team have what they need.

This role is fully in-office and requires consistent presence at the Wells & Company Builders office in Wenham, MA. The position works closely with the President, office staff, field crews, clients, architects, designers, vendors, and prospective employees.

Key ResponsibilitiesExecutive & Owner Support

Proactively manage the President's calendar, appointments, meetings, and recurring commitments.
Schedule client, architect, designer, team, and project meetings.
Coordinate weekly project site visits and other recurring appointments.
Confirm upcoming meetings and help identify scheduling conflicts.
Add blocks of preparation time and supporting information to the President's calendar as needed.
Track action items, deadlines, follow-ups, and priorities.
Draft meeting agendas and help prepare the President for client and internal meetings.
Help organize and prioritize the President's to-do list and outstanding items.
Provide general administrative support and help keep the President informed and organized.

New Client & Lead Coordination

Monitor the company's primary inquiry email for new prospective clients.
Review incoming inquiries and identify promising leads for the President's review.
Coordinate initial phone calls and site visits between prospective clients and the President.
Track prospective clients through the initial inquiry and Pre-Construction process.

Meeting & Company Support

Prepare agendas and supporting materials for client and internal meetings.
Assist with monthly company meeting preparation.
Maintain awareness of team schedules and upcoming commitments.
Assist with company events and team activities as needed.
Provide occasional administrative or team support in the field, including delivering crew snacks and supplies.
Assist the President with general recruiting and hiring coordination.

Marketing & Brand Support

Manage and maintain the company's social media accounts.
Assist with the development and design of marketing materials and client-facing collateral.
Coordinate with outside marketing, design, photography, and other creative partners.
Help move external marketing projects forward by coordinating communication, deadlines, and follow-ups.
Maintain organized marketing files and templates.
Coordinate photography of completed residential projects.

Office Administration

Maintain a clean, organized, and welcoming office environment.
Restock office snacks and supplies.
Order office supplies as needed.
Coordinate office maintenance and equipment needs.
Receive and route incoming company phone calls through the company's phone system.
Assist with general office errands and administrative needs.

CRM & Administrative Systems

Maintain accurate information within the company's CRM and administrative systems.
Review and update lead information and follow-up items.
Maintain organized digital files and shared company documents.
Use company systems consistently to ensure information is accessible and up to date.

Qualifications

2+ years of administrative, executive assistant, office management, or related experience; experience in a construction or construction-adjacent small business is preferred.
Strong organizational skills and excellent attention to detail.
Strong written and verbal communication skills.
Ability to manage multiple priorities and shifting deadlines.
Ability to anticipate needs, follow through independently, and take ownership of tasks.
Comfortable communicating with a wide range of people, including clients, architects, designers, subcontractors, vendors, and field employees.
Strong computer skills and comfort learning new systems and software.
Proficiency with Google Workspace, including Gmail, Calendar, Drive, Docs, and Sheets.
Familiarity with Monday.com or other CRM/project management platforms.
Familiarity with Canva or similar design tools.
Familiarity with social media platforms
Valid driver's license and reliable transportation.

Familiarity with residential construction processes and terminology is a plus.

Position Details

We are accepting applications for full-time, hourly, W-2 candidates only.

Benefits include:

Annual compensation range of $56,160–$60,320
Eighty (80) annual PTO hours
