OFFICE PROGRAM AND ENGAGEMENT ADMINISTRATOR

About ACT Lawrence:
ACT Lawrence is a Latina-led, award-winning nonprofit Community Development Corporation (CDC) dedicated to empowering low- to moderate-income residents in Lawrence, MA. Through financial education, housing support, youth leadership, and workforce development programs, ACT Lawrence serves over 21,000 individuals annually, fostering financial resilience, civic engagement, and personal growth.

Position Summary:
The Office Program and Engagement Administrator plays a key role in supporting the daily operations of ACT Lawrence while enhancing client engagement and program coordination. This full-time position is responsible for maintaining a well-organized, welcoming office environment; managing program registrations and data; supporting workshops and community events; and ensuring compliance with HUD documentation requirements. This is an ideal opportunity for someone highly organized, bilingual, and passionate about community development.

Key Responsibilities:

Office Administration & Customer Service

Serve as the first point of contact for clients and visitors, delivering excellent bilingual (English/Spanish) customer service in person, by phone, and online.
Maintain an organized, professional, and welcoming front office, lobby, classroom, and coffee station.
Manage office supply inventory, copier functions, mail distribution, and front desk systems.

Program & Client Services

Register clients for workshops, counseling sessions, and events.
Collect and input client data across systems including CounselorMax, SurveyMonkey, and DocuSign.
Ensure workshop compliance by preparing HUD-required documentation and client certificates.
Track and complete required 60-day follow-ups with workshop participants.

Engagement & Event Support

Support staff with logistics for internal programs and community-wide events.
Attend and assist with workshops and events, including set-up, sign-in, and on-site coordination.
Represent ACT Lawrence at outreach events and maintain updated event checklists and supplies.
Coordinate the agency’s Annual Members Meeting and other signature events.

Team & Organizational Support

Collaborate with housing counselors and program staff to ensure efficient service delivery.
Assist the Executive Director and Deputy Director with administrative tasks, compliance reporting, and grant documentation.
Support team projects, community outreach efforts, and recruitment of program participants.

Qualifications:

Must obtain HUD Housing Counselor Certification within 60 days of hire (training provided).
High school diploma or GED required; Associate’s degree preferred.
Bilingual in English and Spanish (spoken and written) with strong communication skills in both.
Proficiency in Microsoft Office, Google Suite, Zoom, and data entry platforms.
Strong attention to detail, time management, and ability to prioritize tasks.
Ability to work collaboratively across teams and independently.
Demonstrated commitment to community service and equity.
Flexibility to work four evenings per month and occasional weekends.

Job Type:
Full-time (40 hours/week). Flexibility required for evening and weekend hours aligned with program needs.
