Location: Andrews, TX worksite
Summary
Responsible for intermediate level administrative and clerical tasks related to the establishment, editing, improvement, and maintenance of RCRA, Byproduct and Low-Level Radioactive Waste Facility procedures and other controlled documents. Providing efficient clerical support to the QA team, which would include receiving, reviewing, categorizing, scanning, filing, and tracking documents using the WCS document organization systems. This position needs to be extremely detail-oriented and be familiar with working with documents of a confidential nature, such as company-specific proprietary information.
Essential Duties and Responsibilities include the following:
- Ability to train and assist team members in the use of document management software.
- Retrieve documents in storage areas upon request.
- Convert selected hard copy files to electronic format.
- Review documents, ensuring regulation compliance; creating revisions and archiving outdated versions.
- Document distribution and response retrieval to requests to/from the relevant individual(s), department(s) or organization(s).
- Creating master document templates and forms, and employee training.
- preparing and updating document control procedures for the company
- making sure that departments are following the correct procedures in the document flow process
- Assists the QA Director with records by scanning documents for the electronic records system. This includes any document required by QA procedure such as audits and surveillances (internal and external).
- Apply and reinforce the skills learned through human performance training to prevent personal errors and errors by other team members.
- Record administration to include review, editing, tracking, filing, reporting, retrieval, and distribution for assorted record keeping programs, including but not limited to internal and external correspondence, training and required reading, instructions, procedures and drawings, non-conformance and corrective action reporting, records inventory, and disposition schedule (RIDS), qualified supplier lists, and controlled document locations.
- May be required to perform a variety of non-routine administrative tasks in pursuit of quality assurance objectives, associated audits, and other related tasks.
- Meet quarterly requirements with submittals to TCEQ of records.
- Keep track of all procedures and status of signatures to properly notify supervisors
- Make sure all controlled documents are up to date throughout the site.
- Other duties as assigned.

Education and/or Experience
High school diploma or general education degree (GED); and two-years documented administrative experience in a progressive office environment and/or in radiation safety administration; and documented experience and/or training in various office/data management software; or combination of education and experience per the discretion of the hiring manager.
Language Skills
Ability to read and analyze, using critical thought and logical interpretation, interpret documents such as procedures, safety rules, operating and maintenance instructions, and procedure manuals including all ancillary charts, graphs, tables, and maps. Ability to write, and proofread, routine and technical reports, correspondence, and procedures. Ability to speak effectively before groups or employees of the organization.
Mathematical Skills
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ration, and percent.
Reasoning Ability
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
Computer Skills
To perform this job successfully, an individual will possess advanced knowledge of Microsoft Office software and working knowledge of Database software, Internet software, and Project Management software.
