JOB DESCRIPTION
Summary/Objective
The Fleet and Facilities Logistics Supervisor provides operational leadership and administrative oversight of parts procurement, inventory management, and facilities support functions within the Fleet Services and Facilities Departments. This position is responsible for developing and executing inventory replenishment strategies that optimize stock availability while maintaining disciplined cost control across parts, supplies, and materials.
The Supervisor leads and shall serve as the primary point of contact for vendor and supplier relationships and regional transit authority partners, evaluates product alternatives, research aftermarket opportunities, establishes and monitors inventory par levels, and works in conjunction with the Maintenance Systems Administrator & Warranty Coordinator to administer the warranty claims process and maximize cost recovery. This role directly supervises Parts Clerks and Maintenance Systems Administrator & Warranty Coordinator, fostering positive morale and a team environment focused on accuracy, efficiency, and continuous improvement.
Working in close partnership with Finance, Purchasing, and Accounting, the Supervisor ensures that all procurement, storage, and utilization of parts, supplies, and services align with organizational policies, budget targets, and applicable regulatory requirements. This position plays a critical role in sustaining fleet readiness and facilities operations by ensuring the right materials are available at the right time and at the best value to the Authority.
Responsibilities and Essential Functions:
Inventory Receiving, Storage & Issuance Operations
Oversee all AAATA-designated areas used for the receiving, storage, and issuance of parts, supplies, and equipment, ensuring operations are conducted in a safe, secure, and efficient manner consistent with organizational standards.
- Safety & Compliance: Monitor and enforce organizational safety standards in accordance with the Personnel Procedures Manual, Contract, and coordinating with the Safety Officer to ensure proper storage methods are applied across all AAATA facilities for parts, fluids, bulk items, and related supplies.
- Personnel & Contractor Supervision: Supervise the work activities of AAATA personnel and contractors involved in the receipt, storage, custody, issuance, and shipment of parts, supplies, and equipment, ensuring adherence to established procedures, quality standards, and organizational policies.
- Specialized Material Handling: Procure, handle, and store consumable items requiring special treatment—including fuels, lubricants, gases, and other materials with characteristics such as flammability, toxicity, fragility, rapid deterioration, contamination risk, or oxidation potential—in full compliance with applicable safety and regulatory standards.
- Receiving Verification & Quality Control: Examine incoming stock items for quantity and quality compliance against requisitions, specifications, and AAATA acceptance policies. Verify all received parts against corresponding packing slips to ensure accuracy and accountability.
- Hazardous & Recyclable Material Disposal: Manage the compliant disposal of hazardous and recyclable materials, including used oil and filters, scrap metal, tires, paints, and refuse. Responsibilities include determining appropriate disposal methods, maintaining accurate disposal records, and ensuring all documentation satisfies EPA and other applicable regulatory agency requirements. Coordinate with the Safety Office to maintain current Safety Data Sheets (SDS) for all applicable materials.
- Battery Inventory & Disposal: Maintain a current inventory of charged batteries and supervise the proper disposal of spent batteries in accordance with environmental regulations.
- Housekeeping & Facility Stewardship: Maintain a clean, orderly, and professional parts room environment through routine housekeeping, organization, and proactive upkeep of storage areas.
- Material Handling Equipment Operation: Operate forklifts and/or overhead cranes as required to safely manage the delivery, storage, and retrieval of large, heavy, or bulky inventory items.
- Regional Transit Authority Coordination: Maintain current points of contact (POC) with regional transit authority peers and proactively coordinate with partner agencies to expedite parts sourcing and resolve supply shortages that could impact fleet availability or maintenance operations.
Inventory Control System Supervision & Administration
Supervise and maintain AAATA’s inventory control system, ensuring accurate tracking, accountability, and operational efficiency across all parts, supplies, and equipment transactions.
- System Enhancements & Standard Procedures: Identify, implement, and document enhancements and modifications to the inventory control system, maintaining current standard operating procedures to ensure consistent and accurate system utilization across the department.
- Fixed Asset Control: Assist in the ongoing maintenance and accuracy of AAATA’s fixed asset control system, ensuring all assets are properly tracked, recorded, and reconciled in compliance with organizational policy.
- Operating Procedure Recommendations: Continuously evaluate departmental workflows and proactively recommend changes to operating procedures that improve efficiency, reduce risk, and align practices with organizational goals and evolving industry standards.
Inventory Auditing, Reporting & Professional Development
Manage the annual physical inventory count and support audit and review processes to ensure inventory accuracy, financial accountability, and continuous improvement across all Fleet Services & Facilities inventory functions.
- Inventory Management: Plan, coordinate, and execute AAATA’s annual, semi-annual, quarterly, monthly physical inventory count, ensuring accurate reconciliation of all parts, supplies, and equipment. Participate in triennial reviews and assist with internal and external audits pertaining to inventory matters as required.
- Cycle Counts & Variance Analysis: Conduct ongoing cycle counts and periodic inventory reviews to proactively identify and investigate variances. Prepare and submit appropriate follow-up reports with findings and corrective action recommendations to department leadership.
- Shop Repair Order Documentation: Accurately record parts and materials issued against shop repair orders, ensuring proper cost allocation, inventory deduction, and maintenance recordkeeping in compliance with departmental procedures.
- Reporting & Management Communication: Prepare and distribute inventory-related reports as required, providing department managers with timely, accurate data to support operational decision-making, budget oversight, and regulatory compliance.
- Professional Development & Knowledge Dissemination: Attend relevant professional conferences, trade seminars, and industry training events to remain current with emerging trends, technologies, and best practices in fleet parts management and logistics. Proactively disseminates pertinent information and takeaways to Fleet Services Department team members to elevate departmental knowledge and performance.
Purchasing & Materials Management
Oversee all purchasing and materials management activities for the Fleet Services & Facilities Departments, ensuring timely procurement of parts, supplies, and materials at the best value while maintaining compliance with AAATA purchasing policies, specifications, and applicable regulatory requirements.
- Inventory Replenishment & Requisitions: Analyze inventory levels and consumption trends to determine replenishment needs and prepare purchase requisitions for routine daily parts and supplies procurement, ensuring stock availability supports uninterrupted fleet maintenance operations.
- Emergency Purchases & Special Orders: Evaluate urgent operational needs and provide authorization for emergency purchases or initiate special orders as necessary to minimize fleet downtime and maintain service delivery commitments within the guidelines of the AAATA Procurement Manual.
- Technical Research & Parts Substitution: Research technical catalogs, manufacturer publications, industry databases, and other sources to identify approved substitution and interchange options for parts and materials, ensuring all alternatives maintain compliance with applicable specifications and quality standards.
- Purchasing Policy Compliance: Coordinate all procurement activities in alignment with AAATA’s established purchasing policies and procedures, ensuring proper documentation, authorization levels, and vendor compliance throughout the procurement lifecycle.
- Warranty Administration: Provide oversight and assistance to the Maintenance Systems Administrator and Warranty Coordinator to maintain comprehensive warranty records for all AAATA vehicles, equipment, parts, and materials. Ensure Maintenance Systems Administrator & Warranty Coordinator communicates with supervisory personnel across departments to administer warranty claims efficiently, maximizing cost recovery and ensuring timely resolution with vendors and manufacturers.
- Blanket Purchase Order Support: Assist in the development and preparation of technical specifications for annual blanket purchase orders, ensuring specifications accurately reflect operational requirements, industry standards, and organizational procurement objectives.

Foster a positive, collaborative work environment that promotes teamwork, mutual accountability, and a shared commitment to operational excellence across the Fleet Services & Facilities Departments.
- Organizational Standards & Employee Development: Champion AAATA’s standards of integrity, ethics, and professional performance in all departmental interactions. Provide ongoing coaching, guidance, and performance feedback to employees, and administer corrective action and disciplinary measures in a fair, consistent, and documented manner when required.

- Accident & Hazard Reporting: Report all workplace accidents, injuries, near-misses, and identified safety hazards to the Manager of Fleet Services and the Safety Officer immediately upon occurrence, ensuring timely documentation, investigation, and corrective action in accordance with AAATA safety policies and regulatory requirements.

Required Qualifications
- Bachelor’s Degree logistics, supply chain management, transportation management or relevant degree or certification or equivalent work experience in similar role for 4 years.
- A minimum of 2 years of supervisory experience in a related field or equivalent work experience
- Working knowledge of storeroom and warehouse methods, procedures, and inventory recordkeeping and control practices specific to automotive parts
- Ability to recognize and identify vehicle parts and components
- A valid Michigan Driver’s License, as required
- Strong attention to detail with the ability to retain and accurately process information
- Ability to manage multiple concurrent projects with minimal supervision while meeting established deadlines
- Ability to perform effectively under constant stress and frequent interruptions
- Strong analytical and problem-solving capabilities
- Proficiency in reading, interpreting, and developing technical documents, catalogs, and specifications
- Competency in basic mathematical skills is applicable to inventory and purchasing functions
