Full Job Description

Position Overview

The Associate Financial Representative (AFR) plays a key role in delivering exceptional client service while supporting the financial representative in growing and managing their practice. This position combines administrative support, client relationship management, and insurance/investment service responsibilities to help ensure a well-organized and efficient office.

Key Responsibilities

Administrative & Practice Support

Manage client records, case notes, correspondence, and account documentation.
Coordinate calendars, schedule appointments, and assist with follow-up activities.
Answer and direct client inquiries by phone and email.
Support marketing efforts, including seminar planning, event coordination, and client outreach.
Prepare meeting materials, proposals, reports, and insurance/investment paperwork.
Monitor application and underwriting requirements and communicate with home office teams as needed.
Maintain client information, records, office supplies, and marketing materials.

Client Service & Relationship Management

Serve as a primary point of contact for client service requests.
Assist clients with insurance-related applications, policy changes, account updates, and service requests.
Follow up on outstanding forms, documentation, and account requirements.
Proactively support client retention and engagement efforts, including appointment scheduling and customer outreach.

Insurance & Investment Support

Assist with insurance and investment account processing and documentation.
Review applications and forms for accuracy and completeness.
Coordinate underwriting requirements, including medical and paramedical exams.
Prepare account summaries, reports, and other materials for client meetings

Support licensed representatives with account maintenance, transfers, exchanges, and service requests.
Work with the network office, home office, and investment partners to resolve client account issues.

Qualifications

Life & Health Insurance License preferred or willingness to obtain within 90 days of hire.
Financial services or insurance industry experience preferred.
Strong customer service and administrative support experience.
Excellent written and verbal communication skills.
Proficiency with Microsoft Office and data management systems.
Strong organizational skills with the ability to manage multiple priorities.
Detail-oriented with a high degree of accuracy.
Self-motivated, proactive, and committed to continuous learning.
Ability to work independently and collaboratively.
Demonstrated professionalism and discretion when handling confidential information.
