Full Job Description

We are seeking a highly organized and proactive Administrative Coordinator to support a fast-paced engineering department. This role is ideal for someone who thrives in a collaborative environment, enjoys managing multiple priorities, and takes pride in delivering exceptional support to leadership and technical teams.

The Administrative Coordinator will provide day-to-day operational and administrative support to two General Managers and a department of approximately 70 engineers. The ideal candidate is detail-oriented, customer-focused, and able to work independently while maintaining strong communication across cross-functional teams.

Key Responsibilities

Coordinate and support department meetings, offsite events, and team functions including scheduling, logistics, room setup, and materials preparation
Manage purchase requisition processes from submission through approval, PO dispatch, invoice reconciliation, and expenditure tracking
Process invoices and confirm payment completion in a timely manner
Prepare and submit monthly accrual reports
Support onboarding activities for new team members and contractors, including:
PC and CAD workstation setup coordination
System/application access requests
Organizational chart and seating chart updates
Coordinate domestic and international travel arrangements for team members and visiting partners
Prepare for internal and external visitors by arranging:
Temporary system access
Guest Wi-Fi
Visitor badges and workspace accommodations
Provide support for international visitors and assist with basic communication coordination when needed
Maintain and update departmental reference documentation and administrative procedures
Manage office supply inventory and coordinate replenishment orders
Handle incoming mail and department distribution activities
Act as a dependable point of contact for administrative and operational support across the department

Qualifications

3–5 years of experience providing administrative or department support in a professional office environment
Strong organizational and multitasking abilities with excellent attention to detail
Excellent verbal, written, and interpersonal communication skills
Strong customer service mindset with the ability to build positive working relationships across all levels of the organization
Ability to work independently, prioritize responsibilities, and manage competing deadlines effectively
Proficiency with Microsoft Office Suite, including Outlook, Excel, PowerPoint, and Word
Experience with SAP, Ariba, or similar purchasing/procurement systems preferred
Basic Japanese language skills are a plus, but not required

Additional Requirements

This position follows a hybrid schedule:
In-office Monday through Thursday
Remote work option available on Fridays
Candidates must complete an Excel assessment and achieve a score of 80% or higher prior to consideration
