Full Job Description

We are seeking an experienced, detail-oriented Financial Advisor Assistant to support our wealth management team and provide an exceptional experience for our clients. This individual will work closely with the Financial Advisor and clients to manage day-to-day client service, account administration, financial planning support, and operational responsibilities.

The ideal candidate has prior experience in wealth management or financial services, understands the advisor-client relationship, is highly organized, and can take ownership of tasks with minimal supervision. This is an important role for someone who enjoys building long-term client relationships while helping an advisor operate an efficient, high-touch practice.

Key Responsibilities

Client Service & Relationship Management

Serve as a primary point of contact for clients and provide responsive, professional service.
Handle day-to-day client requests and follow through to ensure timely resolution.
Schedule client meetings, prepare meeting materials, and assist with follow-up.
Maintain strong, professional relationships with clients and their families.
Anticipate client needs and proactively address outstanding items.

Account & Administrative Support

Assist with opening and maintaining brokerage, retirement, trust, and other investment accounts.
Process account transfers, contributions, withdrawals, distributions, beneficiary changes, and other service requests.
Coordinate paperwork and documentation with custodians, investment companies, and other financial institutions.
Monitor outstanding paperwork and follow up with clients and outside parties as needed.
Maintain accurate and organized client records and CRM information.

Financial Planning & Investment Support

Assist the advisor in preparing for client meetings and financial planning reviews.
Gather and organize client financial information.
Assist with preparation of financial plans, reports, proposals, and presentations.
Help prepare portfolio reviews and investment-related materials.
Track client action items and ensure recommendations are implemented appropriately.
Assist with retirement, tax, estate, insurance, and cash-flow planning tasks as directed by the advisor.

Practice Management

Manage and prioritize multiple client requests and projects.
Help maintain efficient workflows and improve administrative processes.
Coordinate with internal team members, custodians, CPAs, attorneys, and other professional partners.
Maintain confidentiality and exercise sound judgment when handling sensitive client information.
Assist with special projects and other responsibilities that support the growth and success of the practice.

Qualifications

3+ years of experience in wealth management, financial planning, investment management, or a related financial services role.
Strong understanding of investment accounts, retirement accounts, and basic financial planning concepts.
Experience working with a financial advisor, wealth management firm, RIA, broker-dealer, or custodian.
Familiarity with CRM and portfolio management systems.
Excellent written and verbal communication skills.
Exceptional attention to detail and organizational skills.
Ability to manage multiple priorities and meet deadlines.
Strong problem-solving skills and ability to work independently.
High level of professionalism, discretion, and client-service orientation.
Proficiency with Microsoft Office and other common financial services technology.

Preferred Qualifications

Series 7, Series 65, or Series 66.
Experience with financial planning software such as eMoney, MoneyGuide, or RightCapital.
Experience with custodial platforms.
Experience with CRM systems such as Redtail or Wealthbox.
