Job Summary

U-M Architecture, Engineering and Construction is looking for an administrative assistant to join our team. You will provide a variety of administrative support to the Construction Services project managers. We work with senior leaders, faculty, staff and students across campuses, departments, colleges, and units. Work will be on-site in Ann Arbor, MI.

What You'll Do

Reporting to the Manager of Construction Services, you will support project managers and supervisors with the following project execution duties:

Setup and maintain project master files and logs
Help with assembly of close-out materials, such as: warranty contact information, warranties and missing pay applications/quotations. Inspection certificates. Commissioning documents
Help update project manager's record drawing set with all applicable addendum, bulletins and change order documentation.
Help coordinate contract change documentation, such as CCD, bulletin, and change orders.
Schedule and maintain electronic calendars to support the project managers and supervisors. Meet with project managers and supervisors biweekly to review projects and related tasks.
Organize RFIs and submittals
Collect safety reports, review, record, prepare incident reports, and route them
Employ basic reasoning skills and provide provide accurate work products

Required Qualifications*

High School diploma or associates degree, including courses in business practices, or an equivalent combination of education and experience
Four or more years of experience performing administrative responsibilities
Four or more years of supporting managerial level positions
Experience with advanced business software and computer applications, such as Google collaboration tools, Dropbox, and similar platforms
