Job Overview

Chabad of Hunterdon County and Hunterdon Preschool of the Arts is seeking a dynamic, highly organized, and proactive Office Manager to oversee the day-to-day administrative operations of our growing organization. This is an exciting opportunity for a motivated professional who enjoys wearing many hats, solving problems, and creating efficient systems in a fast-paced, mission-driven environment.

As the central hub of our office, the Office Manager plays a vital role in ensuring the smooth operation of both our preschool and community programs. This position is responsible for leading daily administrative functions, maintaining an organized and welcoming office environment, supporting staff and families, and implementing systems that enhance productivity and efficiency across the organization.

Key responsibilities include office administration, records and database management, scheduling, inventory management, accounts payable and receivable support, recruitment and hiring coordination, parent and donor communications, and overseeing a wide range of operational and administrative projects. The Office Manager serves as the backbone of our administrative team, ensuring that every aspect of the office operates seamlessly while delivering exceptional service to families, visitors, donors, and community members.

The ideal candidate is detail-oriented, dependable, technologically proficient, and able to manage multiple priorities with professionalism and confidence. Strong organizational, communication, and interpersonal skills are essential, along with the ability to work independently, exercise sound judgment, and maintain confidentiality. Proficiency with Microsoft Office, Google Workspace, Canva, and other common office technologies is highly desirable.

Creating materials using Canva and other office software

Requirements

Qualifications
Minimum of 3 years of experience in office management, operations, executive assistance, administrative support, or a similar role.
Exceptional organizational skills with the ability to manage multiple projects, deadlines, and competing priorities while maintaining a high level of accuracy and attention to detail.
Outstanding verbal and written communication skills with a warm, professional, and customer-service-oriented approach.
Strong proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Docs, Sheets, Drive, Calendar), and the ability to quickly learn and master new software platforms.
Comfortable using databases, CRM systems, spreadsheets, cloud-based applications, and digital filing systems.
Experience with Canva or similar design software is highly desirable.
Experience with bookkeeping functions, including accounts payable, accounts receivable, invoicing, expense tracking, and financial recordkeeping. Experience with QuickBooks or similar accounting software is preferred.
Excellent proofreading skills with exceptional attention to detail in written communications, reports, and data management.
Ability to maintain strict confidentiality and exercise sound judgment when handling sensitive financial, personnel, donor, and family information.
Professional and friendly telephone, email, and in-person communication skills with the ability to build positive relationships with parents, donors, vendors, community members, and staff.
Comfortable making outbound phone calls for recruitment, enrollment, donor relations, and follow-up communications.
Self-motivated, resourceful, and capable of working independently while collaborating effectively with a team.
Strong analytical and problem-solving skills with the ability to anticipate needs, identify inefficiencies, improve workflows, and implement practical solutions.
Experience coordinating schedules, meetings, events, projects, and multiple organizational calendars.
Comfortable learning and utilizing AI-powered productivity tools to improve efficiency and streamline administrative processes.
Demonstrated ability to prioritize responsibilities, adapt to changing needs, and thrive in a fast-paced environment where no two days are the same.
A positive attitude, strong work ethic, high level of professionalism, and a willingness to take ownership of projects from start to finish.
Previous experience in a preschool, school, nonprofit organization, religious institution, or other mission-driven organization is a plus.
Experience with Brightwheel, Mailchimp, donor management software, or similar platforms is an asset but not required.

Pay: $44,000.00 - $58,000.00 per year
