Full Job Description

Aya Healthcare is seeking an Administrative Operations Specialist for a 3 month contract role in Arlington, VA!

Location: Arlington, VA
Pay: $27–$29/hour
Schedule: Monday–Friday | 7:30 AM–4:00 PM
Position: 100% Onsite
Contract: 13 weeks: W-2 Contract with Potential for Permanent Conversion
Start: ASAP

We are seeking an experienced Administrative Operations Specialist to support a busy Radiation Oncology department in Arlington, VA. This is a patient-facing healthcare administrative position requiring strong experience with medical scheduling, insurance verification, prior authorizations, patient registration, and EMR/EHR systems.

This is not a general receptionist position. Candidates should have experience coordinating complex medical services and working directly with patients, providers, and insurance companies.

Key Responsibilities

Schedule consultations, treatments, procedures, follow-ups, and specialty appointments
Complete patient registration and check-in/check-out
Verify insurance eligibility, benefits, and coverage
Submit, track, and follow up on prior authorizations
Assist with authorization denials and appeals
Manage referrals and obtain missing clinical documentation
Coordinate outside medical records and supporting documentation
Maintain accurate patient information and documentation in the EMR/EHR
Communicate with patients regarding appointments, insurance requirements, and next steps
Coordinate with physicians, clinical teams, insurance carriers, referral sources, and billing teams
Assist with billing, claims, and revenue cycle-related issues
Manage high-volume inbound and outbound patient communications
Provide compassionate support to patients and families throughout their care

Required Qualifications

3+ years of medical office, Patient Access, or healthcare administrative experience
Hands-on medical scheduling experience
Insurance verification and prior authorization experience
Patient registration/check-in experience
EMR/EHR experience
Strong patient communication and customer service skills
Ability to manage multiple priorities accurately in a fast-paced clinical environment

Highly Preferred

Radiation Oncology or Oncology experience
Epic
Aria
Hematology, Infusion, Radiology/Imaging, Surgical Services, or Cardiology experience
Complex procedure or treatment scheduling
Authorization denials and appeals
Referral coordination
Medical records
Billing, claims, A/R, or revenue cycle experience

Compensation

$27–$29 per hour

This is a 100% onsite W-2 contract position with the opportunity to convert to permanent employment.
