Job Summary

We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this role, you will serve as the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to administrative staff. A proactive approach, combined with excellent communication skills and technical proficiency, will help foster an efficient, welcoming environment. Duties

Handle calendar management and schedule appointments using Google Workspace Tools
Perform data entry tasks accurately into spreadsheets and databases such as QuickBooks and other bookkeeping platforms
Prepare, proofread, and process correspondence, reports, and documents
Maintain organized filing systems both physically and digitally
Support office management activities including supply ordering, inventory tracking, and facility coordination
Assist with client communication, customer service inquiries, and support tasks to enhance overall office productivity

Requirements

Able to lift and move 50 pounds
Has a valid drivers license
Has construction experience
Proven experience in office management or administrative roles
Proficiency in Word or Google Docs, Excel or Sheets, Asana, Google Drive, spreadsheets, and data entry software
Familiarity with QuickBooks or similar bookkeeping software is preferred
Excellent organizational skills with the ability to prioritize tasks efficiently and manage time effectively
Strong computer literacy including typing speed, proofreading skills, and technical proficiency in office productivity tools
Bilingual abilities are a plus to assist with communication
