Full Job Description

AFI Powder Coating is a leading provider of powder coating and sandblasting services with over 25 years of excellence. We specialize in architectural, industrial, commercial, and custom metal finishing projects across the Mid-Atlantic region. As we continue to grow, we are looking for a dedicated Administrative Assistant to support our team and ensure the smooth day-to-day operations of our business.

Position Summary: The Administrative Assistant will be responsible for providing comprehensive administrative support, including managing customer communications, handling daily administrative tasks, and assisting with project coordination. The ideal candidate will be highly organized, detail-oriented, and possess strong interpersonal and communication skills. A background in customer service and administrative duties, as well as experience with tasks related to the powder coating and sandblasting industry, is preferred.

Key Responsibilities:

* Customer Interaction: Respond to customer inquiries via phone and email, ensuring a high level of service and professionalism.

* Email Management: Assist with managing and responding to daily emails, routing correspondence to appropriate team members as needed.

* Phone Support: Answer and direct phone calls, assist customers with questions, and schedule appointments or services.

* Order Processing & Scheduling: Manage service requests, create and maintain schedules for powder coating and sandblasting projects, and ensure all deadlines are met.

* Document Management: Maintain organized filing systems for project documentation, invoices, work orders, and customer records.

* Administrative Support: Perform general office duties such as maintaining office supplies, assisting with payroll processing, preparing reports, and other clerical tasks as needed.

* Customer Follow-Up: Ensure timely follow-up with clients regarding project updates, invoicing, and payment collection.

* Project Assistance: Support management with coordinating powder coating and sandblasting projects, including tracking job progress, ensuring all specifications are met, and assisting with communications between internal teams and clients.

Qualifications:

* Previous administrative experience, preferably in a manufacturing, construction, or industrial environment.

* Strong customer service skills with experience handling customer inquiries and issues professionally.

* Excellent verbal and written communication skills.

* Proficient in Microsoft Office Suite (Word, Excel, Outlook, Gmail, QuickBooks Enterprise) and familiarity with project management software or CRM systems.

* Ability to multitask, prioritize, and manage time effectively in a fast-paced environment.

* Highly organized with strong attention to detail.

* Ability to work independently as well as part of a team.

* Experience in the powder coating and sandblasting industry or similar fields is a plus.

Job Type: Full-time

Pay: $40,000.00 - $45,000.00 per year
