Job Summary
We are seeking a professional and organized Front Desk Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service while managing administrative tasks efficiently. This role requires strong communication skills, proficiency with office management tools, and the ability to multitask in a fast-paced environment. Prior office experience, including clerical and administrative duties, is highly valued. Bilingual abilities are a plus to assist diverse clientele. The successful candidate will contribute to maintaining a welcoming atmosphere and ensuring smooth daily operations.

Responsibilities

Greet visitors and clients warmly, ensuring a positive first impression
Manage multi-line phone systems with professionalism and courtesy
Schedule appointments, manage calendars, and coordinate meetings using Google Workspace and Microsoft Office tools
Handle data entry, filing, and document proofreading with accuracy
Utilize QuickBooks for basic bookkeeping and billing tasks when necessary
Provide excellent customer support and phone etiquette across all communications
Assist with office management duties including organizing supplies and maintaining cleanliness of the reception area
Support administrative functions such as typing correspondence, managing emails, and supporting other staff as needed
Maintain confidentiality of sensitive information and ensure compliance with office policies

Requirements

Proven experience in office management, clerical work, or as a receptionist; medical or dental receptionist experience is a plus
Strong computer literacy with proficiency in Microsoft Office Suite, Google Workspace, data entry, and general office software
Excellent organizational skills with the ability to prioritize tasks effectively
Exceptional communication skills both verbal and written; bilingual abilities are preferred
Familiarity with multi-line phone systems and phone etiquette standards
Ability to handle multiple tasks simultaneously while maintaining attention to detail
Experience with bookkeeping software such as QuickBooks is advantageous
Strong organizational skills including calendar management and time management skills
Previous experience in customer service or customer support roles preferred
High school diploma or equivalent required; additional administrative or office certification is a plus

Pay: $11.75 - $12.00 per hour
