Full Job Description

About the Role

We are seeking a detail-oriented and organized Accounting & Administrative Assistant to support our office’s daily financial operations and office administration. This hybrid role combines bookkeeping responsibilities with general office support, making it ideal for someone who enjoys variety, thrives in an organized environment, and takes pride in maintaining accurate financial records and efficient office operations.

As a key member of our team, you will help ensure our accounting processes run smoothly while providing administrative support that keeps the office organized and productive.

Key Responsibilities

Accounts Payable & Accounts Receivable

Process vendor invoices and maintain accounts payable records.
Prepare and process ACH payments and checks.
Create and distribute customer invoices.
Monitor outstanding receivables and assist with collections.
Prepare and record bank deposits.

Banking & Financial Operations

Review company bank accounts daily.
Process ACH and wire transfers between operating and receivable accounts.
Reconcile banking transactions and maintain accurate financial records.

Commissions & Reporting

Maintain sales commission records.
Prepare commission reports and other financial reports, including RPMS reporting.
Assist with month-end reporting and related accounting tasks.

Customer & Vendor Administration

Set up and maintain customer and vendor accounts.
Manage Certificates of Insurance (COIs).
Coordinate order documentation and shipping logs.
Maintain organized financial and operational records.
Manage and use vendor management operations with select customer accounts in SAP, Coupa, or similar networks.

Office Administration

Order and maintain office supplies.
Process incoming and outgoing mail.
Coordinate occasional shipping activities.
Assist with annual mailings and file organization.
Provide general administrative support as needed, including order processing & customer service, and quoting.

Qualifications

Required

3–5+ years of accounting or bookkeeping experience.
Experience with Accounts Payable and Accounts Receivable.
Knowledge of accounting and tax-related processes.
Strong organizational and time management skills.
Excellent attention to detail and accuracy.
Ability to manage multiple priorities and meet deadlines.
Professional communication and customer service skills.
Proficiency with Microsoft Office, particularly Excel.
Experience using QuickBooks.

Preferred

Familiarity with online banking portals.
Experience working with SAP, Coupa, and other Vendor Management Systems.
Experience preparing financial reports and commission tracking.
