Overview

We are seeking a dynamic and highly organized Business Administrator to join our team and drive operational excellence across our organization. This role is vital in ensuring smooth office operations, managing administrative functions, and supporting financial processes. The ideal candidate will bring enthusiasm, attention to detail, and a proactive approach to managing diverse responsibilities that keep our business running efficiently. As a key member of our team, you will contribute to creating a productive environment that fosters growth, collaboration, and success.

Responsibilities

Oversee daily office management, including front desk operations, multi-line phone systems, and greeting visitors with professionalism and courtesy.
Coordinate scheduling and calendar management for executives and team members to optimize productivity.
Manage vendor relationships, negotiate contracts, and oversee procurement processes to ensure timely delivery of supplies and services.
Handle bookkeeping tasks such as invoicing, expense tracking, and maintaining accurate financial records using accounting software like QuickBooks.
Support human resources functions including onboarding new employees, maintaining personnel records, and assisting with payroll processing.
Assist in event planning for company meetings, training sessions, and corporate events to ensure seamless execution.
Maintain confidentiality when handling sensitive information related to finances, personnel, and company operations.

Skills

Proven experience in office management, administrative support, or related roles with strong clerical skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) along with advanced spreadsheet management skills.
Familiarity with accounting principles and experience using accounting software such as QuickBooks or similar financial software.
Demonstrated ability in vendor management, budgeting, bookkeeping, and financial recordkeeping.
Excellent communication skills—both verbal and written—with a professional phone etiquette approach.
Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
Supervising experience or team management skills to oversee administrative staff or project teams.
Experience in event planning, training & development initiatives, and handling confidential information with discretion.
