Full Job Description

The Events & Retreats Coordinator provides operational, logistical, and hospitality support for the programs, retreats, and events of the Norbertine Center for Spirituality. The position works closely with the Director and Spiritual Direction Coordinator to translate program plans into well-organized and welcoming experiences for retreatants, presenters, partner organizations, and other guests.

The position serves both NCS-created programs and externally hosted groups. A significant component of the role is providing an NCS presence during scheduled evening and weekend events, ensuring that guests receive timely, professional, and welcoming support.

Essential Responsibilities

· Assist the Director and Spiritual Direction & Programs Coordinator in preparing retreats, workshops, conferences, and other NCS programs.

· Serve as the primary operational contact for coordinators of hosted groups during their events.

· Coordinate event logistics, including room preparation, signage, materials, supplies, technology needs, and other practical requirements for NCS created events and Hosted events.

· Assist with participant hospitality as assigned.

· Welcome retreatants, presenters, and visiting groups and provide a professional NCS presence during events.

· Coordinate with internal departments and service providers regarding facilities, food service, housekeeping, technology, and other event needs for the duration of programs and events at the NCS.

· Prepare meeting and retreat spaces before events and assist with restoration and closing procedures afterward.

· Maintain inventories of retreat and event supplies and communicate replenishment needs.

· Develop and maintain event checklists, procedures, and logistical templates that improve consistency and efficiency.

· Provide scheduled evening and weekend coverage according to the NCS event calendar.

· Assist with event follow-up, including gathering feedback, documenting issues, and preparing spaces and materials for future programs.

· Perform other duties related to NCS events and hospitality as assigned by the Director.

Qualifications

· Strong organizational and administrative skills.

· Proficient in Google Docs and Google Sheets for real-time document creation, data organization, and collaborative workflows.

· Experience with Perfect Venue or similar event and retreat management platforms for tracking bookings, scheduling, and client communication.

· Excellent interpersonal and hospitality skills.

· Ability to manage multiple details and deadlines with attention to accuracy.

· Ability to work independently while communicating effectively with the Director and other staff.

· Comfortable working evenings and weekends according to a predictable schedule.

· Ability to interact professionally with retreatants, clergy, religious, presenters, volunteers, and external organizations.

· Commitment to the mission and Catholic identity of the Norbertine Center for Spirituality.

· Experience in event coordination, hospitality, retreat ministry, nonprofit administration, or a related field preferred.

· A Bachelors degree is helpful, but not required.
