Executive Assistant to the President

Position Summary
Elexco Inc. is seeking an exceptional Executive Assistant to serve as the trusted strategic partner to the President. This is far more than an administrative role, it is a leadership support position that requires business acumen, exceptional judgment, organizational excellence, and the ability to anticipate needs before they arise.
The Executive Assistant will oversee the daily flow of executive operations, manage high-level communications, coordinate strategic initiatives, and serve as a key liaison between the President, executive leadership, customers, business partners, and employees. The successful candidate will be resourceful, proactive, highly organized, and capable of maintaining complete confidentiality while thriving in a fast-paced, growth-oriented construction environment.
This position requires someone who can think critically, solve problems independently, and help drive organizational efficiency.
Key Responsibilities
Executive Leadership Support
- Serve as the primary strategic administrative partner to the President.
- Manage an ever-changing executive calendar with competing priorities.
- Coordinate domestic travel, lodging, transportation, and detailed itineraries.
- Prepare executive briefings, agendas, presentations, reports, and meeting materials.
- Anticipate scheduling conflicts and proactively resolve issues.
- Protect the President's time by prioritizing requests and managing interruptions.
- Support all projects and department roles that fall under Presidents responsibility as company demands.
Strategic Project Coordination
- Coordinate special projects from planning through completion.
- Track executive initiatives and ensure deadlines are met.
- Follow up with department leaders regarding action items.
- Assist in implementing strategic business objectives.
- Research information and prepare executive summaries for decision-making.
- Maintain project dashboards and executive reporting.
Executive Communications
- Manage confidential correspondence, emails, and phone communications.
- Draft professional letters, announcements, presentations, and executive communications.
- Act as liaison between the President and internal departments.
- Interface professionally with customers, vendors, attorneys, financial institutions, community leaders, and business partners.
- Maintain the highest level of confidentiality and discretion.
Business Operations
- Assist with board meetings, ownership meetings, and executive leadership meetings.
- Prepare meeting minutes and track follow-up assignments.
- Coordinate company events, customer meetings, leadership retreats, and executive travel.
- Assist with document preparation including contracts, proposals, and corporate records.
- Maintain executive filing systems and confidential business documents.
Organizational Leadership
- Identify opportunities to improve administrative processes.
- Recommend efficiencies that improve executive productivity.
- Coordinate cross-functional communication between departments.
- Help maintain accountability by tracking organizational priorities.
- Support leadership in creating a culture of professionalism and operational excellence.
Qualifications
Required
- Bachelor's degree in Business Administration or equivalent experience preferred.
- Minimum three years supporting a CEO, President, Owner, or senior executive.
- Outstanding organizational and project management skills.
- Exceptional written and verbal communication abilities.
- Advanced proficiency in Microsoft Office 365, Outlook, Excel, PowerPoint, and Word.
- Ability to manage multiple competing priorities simultaneously.
- Strong analytical and problem-solving skills.
- Available for extended work hours as needed.
- Professional judgment with impeccable attention to detail.
- Demonstrated ability to maintain confidentiality.
Preferred
- Experience in construction, utilities, engineering, infrastructure, or industrial services.
- Experience working with ERP or project management software.
- Knowledge of contract administration and business operations.
- Experience coordinating executive-level projects.
