Office Assistant – Full Time / Part-Time (Flexible Schedule)

Dealership / Service Center | Green Bay, WI
Pay: $18.00 – $22.00 per hour (based on experience)

We are seeking a reliable and detail-oriented Administrative Assistant to support the daily operations of our busy auto service shop. The ideal candidate will be organized, proactive, and capable of managing a variety of administrative tasks to assist the Shop Manager and service team. This role is vital to ensuring smooth scheduling, customer satisfaction, and overall shop efficiency.

This position offers some schedule flexibility and is a great fit for someone looking for consistent work without weekends—potentially perfect for a parent of school-age children or someone seeking work-life balance.

What You’ll Do:

Greet customers and respond to inquiries via phone, email, and in person
Answer incoming phone calls and assist customers professionally
Schedule and confirm service appointments
Write and process sales orders and service paperwork
Process invoices, estimates, payments, and warranty documentation
Assist with parts ordering and tracking inventory as directed by the manager
Update weekly tracking sheets and internal reports
File, organize, and maintain accurate records
Provide administrative and clerical support to the Location Manager
Assist with general office tasks and special projects as needed
Maintain a clean and organized front office and waiting area
Follow up with customers post-service to ensure satisfaction
Possibly some light bookkeeping

What We’re Looking For:

Prior automotive experience preferred
Prior office or administrative experience preferred
Strong organizational skills and attention to detail
Comfortable with phones, computers, and data entry
Ability to manage multiple tasks and priorities
Dependable, professional, and customer-focused

Schedule & Pay:

Monday – Friday (no weekends)
Flexible scheduling available (hours to be discussed)
$18.00 – $22.00 per hour, depending on experience
