JOB FUNCTION:
The Project Coordinator – Quoting, Sourcing & Procurement is responsible for managing customer quotations, sourcing materials and services, coordinating purchasing activities, and supporting project execution from initial inquiry through delivery. This role serves as a key liaison between customers, suppliers, engineering, operations, and project stakeholders to ensure projects are delivered on time, within budget, and according to customer requirements.
ESSENTIAL FUNCTIONS:
Quoting & Estimating
- Review customer RFQs (Requests for Quotation), specifications, drawings, and project requirements.
- Prepare accurate cost estimates and quotations for products, materials, and services.
- Obtain pricing from suppliers and subcontractors to support competitive quotations.
- Analyze material, labor, freight, and overhead costs to ensure profitable pricing.
- Maintain quote records and track quotation status through award or closure.
- Collaborate with sales and engineering teams to clarify technical requirements.
Purchasing & Sourcing
- Source qualified suppliers and negotiate pricing, lead times, and terms.
- Issue purchase orders and manage procurement activities for project materials and services.
- Develop and maintain supplier relationships to ensure quality, reliability, and cost-effectiveness.
- Monitor supplier performance, delivery schedules, and inventory requirements.
- Resolve purchasing discrepancies, shortages, and supplier-related issues.
- Identify cost-saving opportunities through strategic sourcing and vendor negotiations.
Project Management
- Coordinate project activities from order receipt through completion.
- Develop and maintain project schedules, milestones, and procurement timelines.
- Track project budgets, material costs, and progress against objectives.
- Communicate project status, risks, and schedule updates to internal and external stakeholders.
- Facilitate cross-functional collaboration among sales, engineering, production, logistics, and suppliers.
- Manage change orders and ensure proper documentation of project modifications.
- Support project closeout activities, including final documentation and supplier reconciliation.
Administrative & Reporting
- Maintain accurate records of quotations, purchase orders, supplier agreements, and project documentation.
- Generate reports on procurement metrics, project status, and cost performance.
- Ensure compliance with company policies, quality standards, and contractual requirements.
OTHER SKILLS AND ABILITIES:
- Strong understanding of purchasing processes, supplier management, and cost analysis
- Proficiency in ERP/MRP systems and Microsoft Office Suite, particularly Excel
- Excellent communication, negotiation, and organizational skills.

EDUCATION AND EXPERIENCE:
- Bachelor’s degree in Business, Supply Chain Management, Project Management, Engineering, or related field preferred.
- 3+ years of experience in quoting, procurement, sourcing, project coordination, or a related role.
- Experience managing multiple projects and deadlines simultaneously.
- PMP, CAPM, CPSM, or related certification is a plus.
