Job Overview
We are seeking an energetic and detail-oriented Front Desk Associate to be the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and support office management functions. Your positive attitude and organizational skills will ensure a smooth flow of daily activities, creating a professional and friendly environment for clients, visitors, and team members alike. This paid position offers an exciting opportunity to develop your administrative expertise while contributing to a dynamic team.

Responsibilities

Greet visitors and clients with enthusiasm, ensuring they feel welcomed and attended to promptly
Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
Handle incoming correspondence, emails, and inquiries with accuracy and professionalism
Maintain organized filing systems, data entry records, and manage document proofreading to ensure accuracy
Support office management tasks such as calendar management, appointment scheduling, and basic bookkeeping using QuickBooks or similar software
Assist with administrative duties including copying, faxing, scanning, and maintaining office supplies
Provide customer support by addressing questions or concerns promptly and courteously while maintaining a positive attitude

Requirements

Proven experience in office management or administrative roles with clerical experience preferred
Strong computer skills including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
Bilingual abilities are highly desirable to serve diverse client needs
Demonstrated customer service skills with professional phone etiquette and interpersonal communication
Familiarity with office equipment such as multi-line phones, printers, and fax machines
Experience in medical or dental receptionist roles is a plus but not required; relevant personal assistant experience is beneficial
Ability to type accurately and efficiently while managing multiple responsibilities simultaneously
