Full Job Description

Job Summary

We are seeking a reliable, highly organized, and communicative Assistant to directly support a multi-investment owner. In this role, you will help keep daily operations running smoothly across a diverse portfolio of companies, commercial real estate holdings, and private investments. Strong organizational skills and clear, proactive communication are essential, as key responsibilities include schedule coordination, property oversight, and tracking investment details.

We offer a flexible schedule and a paid position where you can take real ownership of daily operational tasks. If you are proactive, comfortable working in person, and capable of managing moving pieces across different projects, we want to hear from you!

Key Responsibilities

Coordinate high-level scheduling, travel arrangements, and site visits across multiple businesses.
Operations & Schedule Management
Prepare operational summaries and track action items for high-priority vendor and business meetings.
Serve as a central point of contact between the owner, external partners, and teams.

Investment & Financial Tracking

Maintain internal logs for private equity, real estate holdings, and private investments.
Track capital calls, distribution statements, acquisition dates, and performance metrics.
Organize and categorize business expenses, receipts, and reimbursement logs for tax compliance.

Property & Facility Oversight

Conduct periodic site visits to inspect commercial and residential properties, logging maintenance needs and structural upkeep.
Monitor ongoing property projects to ensure vendors complete work according to schedule.

Qualifications

Reliability & Communication: Dependable, prompt, and clear in both written and spoken communication.
Tech Comfort: Functional skills in Microsoft Excel (tables, formulas, basic data entry) and Google Workspace.
Basic Financial Understanding: Comfortable handling expense logs, receipts, and investment terminology.
Problem-Solving: Resourceful, organized, and capable of working independently without constant supervision.

Pay: $25.00 per hour

Work Location: In person
