Full Job Description

LUDWIG KLEWER & RUDNER PLLC is a team-oriented public accounting firm based in Tucson, Arizona looking for an outgoing, enthusiastic, highly experienced Administrative Specialist who enjoys connecting with people and building lasting client relationships. This is a front‑line role and a great fit for someone who takes pride in creating a warm, professional first impression, and providing exceptional client service.

Job duties:

Manage incoming client calls, including handling requests for copies of tax returns and basic client questions
Communicate with clients to keep projects moving and help create a positive client experience
Produce and mail/email tax organizers
Produce and mail/email engagement letters
Assemble tax returns
Scan client documents and process via document management software
Maintain and update accurate client files and records
Order and manage office supplies
Process client credit card payments

The ideal candidate will have:

5+ years’ experience with administrative roles – CPA firm preferred
Professional presence including demeanor and appearance
Experience in managing client interactions with confidence and professionalism
Ability to work with a high degree of accuracy, focusing on details and organization
Demonstrated oral/written communication, time management, and multitasking skills
Shows initiative, takes ownership of tasks, can solve problems and recommend solutions
Thrives in a fast-paced working environment, assists where needed, and work independently
Experience handling sensitive and confidential client situations

Our tax season typically runs between February 15th and April 15th when this position may require some overtime in order to handle the large volume of client activity to ensure filing deadlines are met.

Job Type: Full-time

Pay: $50,000.00 - $55,000.00 per year
