Real Estate Database & Lead Conversion Manager

We're looking for a licensed real estate professional who thrives on organization, systems, marketing, and lead conversion. This role is responsible for transforming our CRM into a high-performing lead generation engine by managing our database, creating automated follow-up strategies, supporting our agents, and ensuring every lead has a clear path from first contact to closing.

Position Summary

The Real Estate Database & Lead Conversion Manager sits at the center of Housevio's sales and marketing operations. This individual will oversee our CRM (Follow Up Boss), manage lead flow, build automated nurture campaigns, monitor agent follow-up, and continuously improve our lead conversion process.

Success in this role is measured by one thing: turning more leads into appointments, appointments into contracts, and contracts into closed transactions.

This is an ideal opportunity for someone who has worked as a real estate agent and understands the importance of timely follow-up, relationship building, and leveraging technology to drive sales.

Key ResponsibilitiesDatabase & CRM Management (35%)

Own and manage the Housevio CRM, ensuring data is accurate, organized, and actionable.
Maintain clean contact records through ongoing audits, duplicate removal, and data hygiene.
Create and manage pipelines that ensure every lead has a defined next step.
Organize contacts using tags, smart lists, custom fields, and segmentation strategies.
Develop standardized CRM processes, workflows, and naming conventions across the organization.
Identify dormant or overlooked leads and implement re-engagement strategies.

Lead Conversion & Agent Accountability (30%)

Manage lead distribution and ensure all new inquiries receive timely follow-up.
Monitor agent response times, pipeline activity, and CRM usage.
Hold agents accountable for maintaining lead communication and updating CRM statuses.
Identify opportunities to improve conversion rates through better workflows and follow-up strategies.
Partner with agents to build customized follow-up plans that align with their business goals.
Ensure no qualified lead is lost due to missed follow-up or poor database management.

Marketing & Lead Nurture (20%)

Create and manage automated email and SMS campaigns for buyers, sellers, past clients, and long-term nurture leads.
Develop campaigns around market updates, birthdays, home anniversaries, referrals, and seasonal opportunities.
Collaborate with leadership on marketing initiatives designed to generate conversations and appointments.
Monitor campaign performance and optimize messaging, timing, and audience segmentation based on results.
Assist with marketing content, templates, and communication that supports lead conversion.

Reporting & Analytics (15%)

Build weekly and monthly dashboards tracking:
Lead sources
Database growth
Agent response times
Appointment generation
Pipeline health
Campaign performance
Lead-to-close conversion rates
Analyze trends and provide recommendations that improve lead quality, conversion, and overall sales performance.
Present clear, data-driven insights to leadership.

QualificationsRequired

Active Arizona Real Estate License.
Experience working as a licensed real estate agent with a strong understanding of the buyer and seller journey.
Hands-on experience with Go High Level or a comparable real estate CRM.
Knowledge of lead generation, lead nurturing, and database marketing.
Experience creating CRM workflows, automations, drip campaigns, and pipeline management.
Strong understanding of lead conversion strategies and sales processes.
Excellent organizational skills with exceptional attention to detail.
Strong written and verbal communication skills.
Highly self-motivated with the ability to prioritize multiple projects in a fast-paced environment.

Preferred

Experience with email marketing platforms and CRM's
Familiarity with Zapier, AI-powered automation tools, Fello, or other real estate technology platforms.
Advanced proficiency with Microsoft Excel or Google Sheets.
Experience building reports and dashboards to measure sales and marketing performance.

Pay: $50,000.00 - $60,000.00 per year
