Medical Administrative Quality Specialist (Medical Scribe Background Preferred)

Moonlight Exams specializes in conducting independent medical exams. With more than 100 clinical locations nationwide, we are committed to providing exceptional service through a network of highly qualified healthcare professionals.

We are seeking a highly organized, detail-oriented Medical Administrative Quality Specialist with experience as a Medical Assistant, Medical Scribe, or Medical Records professional. This position is ideal for someone who enjoys solving problems, investigating discrepancies, and ensuring every patient record is complete and accurate.

This role is critical to maintaining the integrity of our medical records, diagnostic testing, and billing processes while serving as the liaison between Moonlight Exams and our nationwide network of diagnostic vendors.

Responsibilities

Audit patient charts to ensure every laboratory and imaging order has a corresponding completed result.

Retrieve outstanding laboratory and imaging reports through secure provider portals, electronic medical records, and digital fax systems.

Communicate professionally with imaging centers, laboratories, and medical providers to locate missing or incomplete records.

Reconcile vendor invoices with physician orders and completed diagnostic results to ensure billing accuracy.

Investigate and resolve discrepancies between ordered services, completed testing, and invoices.

Update proprietary software, Google Sheets, and internal tracking systems with accurate documentation and status updates.

Perform quality assurance reviews to ensure medical documentation is complete, accurate, and compliant with company standards.

Identify workflow improvements that increase efficiency and reduce administrative errors.

Work closely with internal departments and clinical staff to maintain exceptional quality standards across all locations.

Assist with special quality improvement projects as assigned.

Qualifications

1–3 years of experience as a Medical Assistant, Medical Scribe, Medical Records Specialist, or similar healthcare administrative role.

Strong understanding of medical terminology, laboratory testing, diagnostic imaging, and clinical documentation.

Exceptional attention to detail with the ability to identify discrepancies and resolve issues independently.

Experience working with EMRs, secure provider portals, Google Workspace (Sheets, Docs, Drive), Microsoft Office, and digital fax platforms.

Strong organizational and analytical skills.

Excellent verbal and written communication skills.

Comfortable working in a fast-paced environment while managing multiple priorities.

Self-motivated with outstanding follow-through and problem-solving abilities.

Preferred Qualifications

Experience auditing medical records or reconciling healthcare documentation.

Previous experience communicating with diagnostic laboratories, imaging centers, or physician offices.

Knowledge of healthcare billing workflows is a plus.
