Position Overview
We're seeking a motivated and detail-oriented Jr Cloud Account Specialist to support the day-to-day administration, monitoring, and maintenance of company-managed cloud and vendor accounts. This junior-level role focuses on keeping account information accurate, payments current, records organized, and routine account activities completed on schedule across cloud environments (IaaS, PaaS, SIP) and related functional accounts such as telephone and internet lines.
The ideal candidate is highly organized, comfortable working in multiple web-based vendor portals, proficient with spreadsheets, and able to identify discrepancies and follow established procedures. This role works closely with management and provider representatives to help maintain operational readiness, financial accuracy, secure account access, and positive vendor relationships.
Key Responsibilities
Cloud Account Lifecycle Management
- Assist with creating and activating new cloud and vendor accounts by following established procedures.
- Verify that new and existing accounts contain complete and accurate information, including:
- Required software or service provisioning information.
- Payment methods, billing contacts, and account details.
- Assist with documenting and processing account closures or decommissioning activities as directed.
Operational Oversight & Sustainment
- Review assigned cloud and vendor accounts daily to confirm account status and operational availability.
- Monitor billing and payment status and promptly flag upcoming, failed, or delinquent payments.
- Track account usage or capacity information and notify management when changes may be needed.
- Identify billing, account, or service discrepancies and follow up with providers or internal team members for resolution.
- Review and respond to routine cloud provider and vendor communications in a timely and professional manner.
- Document outages, maintenance events, or service disruptions and assist with coordination and follow-up as directed.
- Maintain regular communication with assigned customer success and account representatives.
- Verify that required support plans and account services remain active and accurately documented.
Cost & Metrics Management
- Track cloud and vendor costs using spreadsheets and account portals and identify unusual or unexpected charges.
- Collect, enter, organize, and maintain financial and operational metrics for management review.
- Provide routine updates to management regarding account status, discrepancies, unresolved issues, or significant changes.
Documentation & Governance
- Assist with documenting procurement and account-management processes and maintaining standard operating procedures (SOPs).
- Document recurring daily and weekly account-management activities using established templates and procedures.
- Maintain accurate and organized records of account contacts, billing information, configurations, support details, and operational standards.
Security & Access Control
- Handle cloud account credentials and sensitive account information in accordance with established security procedures.
- Follow authentication and authorization requirements, including two-factor authentication (2FA).
- Follow need-to-know access requirements and maintain confidentiality of account and financial information.
- Coordinate requests for account access or login authorization with management.
- Maintain required recovery information and documentation so authorized personnel can securely restore account access when needed.
Professional Representation
- Communicate professionally with cloud providers, vendors, customer success representatives, and internal stakeholders to support positive business relationships.
Required Qualifications and Skills
· High school diploma or equivalent required; Associate's or Bachelor's degree in Business Administration, Finance, Accounting, or a related field preferred.
· 1–3 years of experience in an administrative, operations, finance, procurement, or customer service role.
· Experience maintaining accurate records and working with spreadsheets.
· Strong organizational skills with the ability to manage recurring daily tasks independently.
· Excellent attention to detail and accuracy.
· Ability to log into multiple online vendor accounts and review account information on a daily basis.
· Proficiency with Microsoft Excel, including data entry, basic formulas, sorting, and filtering.
· Ability to accurately record, organize, and maintain financial and operational data.
· Strong written and verbal communication skills to maintain positive relationships with vendors and account representatives.
· Ability to identify discrepancies, follow up on issues, and communicate findings to management.
· Strong time management skills with the ability to prioritize recurring tasks and meet deadlines.
· Ability to maintain confidentiality when handling financial and account information.
· Comfortable learning new web-based systems and adapting to changing processes.
· Strong customer service and professional communication skills.
Salary
The estimated salary for this position is $60K-$70K. This salary is not guaranteed and will depend on experience and qualifications.
