Administrative Specialist – ABA Therapy

Department: ABA Administration

Reports To: Office Manager

Position Type: Full-Time

Schedule: Monday–Friday, 8:30 AM – 4:30 PM

Position Summary

The Administrative Specialist at Infinity ABA Therapy & Autism Services LLC plays a vital role in supporting the daily operations of our ABA therapy program. This position is primarily responsible for client scheduling, administrative coordination, and clinic support . The ideal candidate is highly organized, detail-oriented, and eager to learn the unique scheduling needs of an ABA clinic.

In addition to administrative responsibilities, this role serves as a key support for our clinic by assisting with daily operations, including providing lunch coverage, bathroom support for learners when appropriate, and helping maintain a safe, efficient, and collaborative clinic environment. This position requires flexibility, teamwork, and a willingness to jump in wherever support is needed.

Minimum Qualifications

Must be at least 18 years old
High School Diploma or Associate's Degree required; Bachelor's Degree in Business, Healthcare Administration, or a related field preferred.
Minimum of 1 year of administrative or office experience; experience working with children with special needs is preferred.
Proficient in Microsoft Office (Word, Excel, Outlook), Google Workspace, and comfortable learning scheduling and billing software.
Strong organizational, communication, and time management skills.
Excellent attention to detail and ability to maintain confidential information.
Ability to work independently while collaborating effectively with a multidisciplinary team.
Willingness to learn the complexities of ABA scheduling and therapist/client coordination.

Knowledge & Skills

Understanding of HIPAA and client confidentiality standards.
Familiarity with ABA therapy or a willingness to learn.
Strong scheduling and organizational skills with the ability to manage multiple moving pieces.
Ability to learn therapist scheduling, client scheduling, cancellations, and coverage needs.
Strong customer service and communication skills when interacting with families, therapists, and insurance providers.
Ability to prioritize tasks and adapt in a fast-paced environment.
Professionalism, flexibility, and a team-oriented mindset.

Key Responsibilities:

Scheduling & Administrative Support (Primary Responsibility)

Coordinate and maintain therapist and client schedules.
Schedule new client intakes, assessments, and ongoing therapy sessions.
Monitor schedule changes, cancellations, therapist availability, and coverage needs.
Communicate scheduling updates with families and clinical staff in a timely and professional manner.
Learn and understand ABA scheduling practices to maximize therapist utilization while meeting client needs.
Assist with administrative projects, data entry, filing, document management, and office organization.

Insurance & Client Coordination

Verify insurance benefits and eligibility.
Obtain and track authorizations.
Assist with claims, billing support, and insurance documentation.
Communicate with families regarding intake paperwork and required documentation.

Documentation & Compliance

Maintain accurate electronic and physical client records.
Ensure documentation complies with HIPAA and company policies.
Assist with reports and administrative tracking as needed.

Clinic Support

Provide support within the clinic throughout the day as needed.
Assist with learner lunch coverage and bathroom support when appropriate.
Help maintain a safe, organized, and positive clinic environment.
Support therapists during transitions or other operational needs.
Be a dependable team member who is willing to step in and assist wherever needed to ensure smooth clinic operations.

Office Administration

Answer phones, respond to emails, and greet families.
Maintain office supplies and inventory.
Organize administrative records and databases.
Complete additional administrative duties as assigned.
