Overview
We are seeking a dynamic and highly organized Office Secretary to join our team! This vital role is the heartbeat of our administrative operations, ensuring smooth daily functions and exceptional support across all departments. As an Office Secretary, you will be the first point of contact for visitors and callers, manage essential clerical tasks, and assist with office management duties that keep our workplace running efficiently. Your energetic approach and attention to detail will contribute significantly to creating a welcoming, productive environment where everyone can thrive.

Responsibilities

Greet visitors warmly and direct them appropriately, maintaining excellent phone etiquette at all times
Manage multi-line phone systems, screen calls, and relay messages promptly and accurately
Handle front desk responsibilities including scheduling appointments, managing visitor logs, and maintaining a professional reception area
Perform data entry, filing, and document proofreading to ensure accuracy and organization of all office records
Utilize office management softwares as QuickBooks, Microsoft Office, and Google Workspace to support bookkeeping, invoicing, and administrative tasks
Coordinate calendar management and schedule meetings or appointments for staff members with efficiency and clarity
Support customer service efforts by providing timely assistance and information to clients or visitors as needed

Experience

Proven office experience with strong clerical skills in a fast-paced environment
Familiarity with multi-line phone systems, data entry, filing systems, and general office procedures
Excellent knowledge of Microsoft Word, Excel, and Email communication
Ability to prepare professional documents and spreadsheets
Bilingual abilities are a plus to effectively communicate with diverse clients and team members
Demonstrated organizational skills with the ability to manage multiple priorities simultaneously
Ability to maintain confidentiality
Professional attitude and appearance
Healthcare office experience is a plus
