Front Office Specialist

Schedule: Full-time, Monday-Friday, 8-5pm

Pay: $19.94 to $25.93

The Front Office Specialist/Patient Service Specialist performs complex administrative duties including patient registration, patient scheduling, providing excellent customer service to clients, and management of multi-line phone system. This role requires a general knowledge of various systems and/or procedures. This position ensures that every patient is treated with quality clinical care and is provided a welcoming and respectful experience.

Responsibilities

Greet patients/visitors, manage wait times, and direct patients appropriately.
Check patients in/out using the patient management system and process required authorizations, forms, records, and referrals.
Explain paperwork requirements, ensure accurate completion, and manage distribution of records and forms to outside parties.
Answer and direct phone calls; contact patients regarding appointment reminders, rescheduling, and cancellations.
Maintain accurate filing, medical records, paperwork, employer results, and charge entries.
Manage office supplies, printed forms, facility cleanliness, and other daily administrative operations.
Follow HIPAA, safety, training, and staff meeting requirements while supporting center leadership.
Perform approved medical assistant duties, including breath alcohol testing, drug screens, TB skin-test reads, and other duties assigned by medical leadership.

Qualifications

Education & Experience: High school diploma/GED and 6 months–1 year of related experience; occupational medicine knowledge preferred.
Customer Service: Strong customer service, professionalism, communication, flexibility, initiative, and ability to work effectively with patients, employers, providers, and staff.
Administrative & Technical Skills: Proficient in front office operations, Microsoft Office (Word, Excel, Outlook), data entry, problem-solving, and maintaining accurate records.
Compliance & Performance: Ability to protect sensitive/HIPAA information, follow policies and regulations, maintain strong working relationships, and meet or exceed service standards.
