Role Summary
Comprehensive Sleep Care Center is seeking a hands-on, multi-site healthcare operations leader to strengthen day-to-day execution and build a more consistent, accountable, and scalable operating model across its 11-location platform. This role will lead practice operations through department managers, maintain a visible presence across locations, support providers and employees, and improve coordination across administrative and clinic operations.
The role will initially oversee leaders responsible for Front Desk, Call Center, Facilities, Marketing, Medical Records, and other administrative practice functions, with the opportunity to expand into ownership of additional back-office and practice operations support functions as the organization evolves. The position will partner closely with clinical leadership while clinical judgment, protocols, and provider governance remain under the appropriate licensed authority.
This is a hands-on leadership role for someone who can work in the details without becoming the owner of every task. The right candidate will coach managers, establish clear priorities and reporting, resolve operating issues, and build the management discipline required to support continued growth and progressively reduce reliance on the founders for routine day-to-day execution.
Key Responsibilities
Multi-Site Practice Leadership
· Provide visible, hands-on leadership across CSCC locations and establish consistent operating standards, expectations, and follow-through.
· Develop a regular site-visit cadence, maintain strong relationships with location teams and providers, and identify operational risks before they escalate.
· Translate company priorities into clear department- and location-level plans, owners, timelines, and measurable outcomes.
· Maintain stable daily operations while advancing process improvements and longer-term operating priorities.
Leadership, Accountability & Team Development
· Lead, coach, and develop department managers; clarify roles, decision rights, performance expectations, and escalation responsibilities.
· Establish disciplined weekly and monthly management routines focused on performance, staffing, priorities, risks, and cross-functional decisions.
· Build a culture of ownership, professionalism, responsiveness, and consistent follow-through across the operating organization.
· Address performance or conduct concerns promptly in partnership with Human Resources and ensure corrective actions are documented and completed.
· Assess organizational capacity and recommend changes to roles, reporting lines, staffing models, or leadership structure as the platform grows.
Provider, Patient & Clinic Performance
· Serve as a key operating partner to providers and ensure timely resolution of scheduling, staffing, workflow, communication, and clinic-support concerns.
· Improve provider template utilization, clinic capacity, patient flow, front-desk execution, and coordination between providers and administrative teams.
· Strengthen patient access, service consistency, complaint escalation, and issue resolution across locations.
· Partner with clinical and functional leaders to ensure operational workflows support quality care, compliance, and efficient patient service.
Performance Management & Operating Infrastructure
· Develop meaningful operational scorecards and management reporting across locations and departments.
· Use data to identify performance gaps, establish priorities, and hold managers accountable for corrective actions and sustained improvement.
· Standardize key workflows, policies, handoffs, and escalation paths while preserving appropriate flexibility for location and service-line needs.
· Replace ad hoc follow-up with practical, repeatable management systems that create visibility without unnecessary bureaucracy.
Staffing, Recruiting & Leadership Capacity
· Partner with Human Resources and department leaders to maintain appropriate staffing, coverage, scheduling, training, and succession plans.
· Support recruiting, selection, onboarding, and operational integration for providers and key department leaders.
· Review staffing needs against patient volume, provider capacity, service levels, productivity, and financial performance.
· Build stronger management bench strength and reduce dependency on individual employees or founders.
Cross-Functional Execution
· Partner closely with Revenue Cycle, Finance, Human Resources, IT, Facilities, Marketing, and Clinical Leadership to resolve issues and execute enterprise priorities.
· Ensure operating decisions consider financial impact, revenue-cycle implications, staffing capacity, compliance requirements, and patient experience.
· Create clear handoffs and accountability across departments so issues are resolved at the appropriate level and do not default to the CEO.
· Provide concise, decision-oriented reporting to leadership on performance, risks, priorities, and required support.
Growth, Integration & Scalability
· Build operating infrastructure capable of supporting additional locations, new service lines, and continued organizational growth.
· Support operational diligence, transition planning, and integration activities for acquisitions, new locations, or service-line expansion.
· Develop repeatable playbooks for site launches, operational transitions, workflow standardization, and manager onboarding.
· Identify opportunities to improve efficiency, capacity, service quality, and enterprise value without creating unmanaged complexity.
Success in This Role Will Include
· A stable leadership transition with clear ownership across practice operations.
· Consistent operating expectations and accountability across locations and departments.
· A structured operating cadence with reliable reporting, prioritized initiatives, and timely escalation.
· Improved provider communication, staffing coordination, clinic execution, and patient-service consistency.
· Stronger department managers who independently own performance, follow-through, and problem resolution.
· Documented and standardized core workflows, handoffs, and decision rights.
· A meaningful reduction in routine operating matters requiring direct CEO involvement.
· Operating infrastructure capable of supporting service-line expansion, acquisitions, and future growth.
Required Qualifications
· Bachelor's degree in Healthcare Administration, Business Administration, Operations, or a related field.
· 7+ years of progressive healthcare operations experience, including meaningful leadership responsibility within a multi-site physician practice, ambulatory network, or comparable healthcare platform.
· Demonstrated experience leading managers and cross-functional teams across multiple locations.
· Strong track record of improving operational performance, standardizing workflows, and building accountability in a growing or changing organization.
· Experience working directly with physicians, founders, and executive leaders.
· Ability to interpret operational and financial data, translate findings into action, and communicate performance clearly.
· Strong communication, coaching, performance-management, and problem-solving skills.
· Ability to operate hands-on while maintaining appropriate delegation and manager accountability.
Preferred Qualifications
· Experience in sleep medicine, physician-practice operations, ambulatory healthcare, or a multi-site healthcare services organization.
· Experience with ancillary services, DME, acquisitions, new-site launches, or practice integration.
· Experience building operating scorecards, management routines, SOPs, and scalable multi-location processes.
· Experience working in a founder-led or high-growth healthcare organization.
· Experience managing operations against budgets, monitoring financial performance, or supporting P&L accountability is a plus.
· eClinicalWorks or comparable EMR and practice-management system experience.
Candidate Profile
The right candidate will be a visible, practical, and highly accountable leader who is comfortable moving between the offices, the management team, provider discussions, and operating data. This person should bring structure and urgency without creating unnecessary bureaucracy and should be able to build trust while setting clear expectations and addressing performance gaps directly.
This role is not intended for someone who only wants to direct from a distance or operate within a fully built corporate infrastructure. It is best suited for a leader who can balance immediate execution with manager development, process improvement, and the creation of scalable practice operations for a growing multi-location healthcare platform.
