Duties

Enter, update, and verify data using productivity software such as Microsoft Office and specialized accounting tools like QuickBooks
Manage multi-line phone systems to handle inquiries, direct calls, and provide exceptional customer support
Maintain accurate spreadsheets and databases, ensuring data integrity through proofreading and regular audits
Support office management tasks including calendar coordination, appointment scheduling, and document organization
Assist with client communication by responding promptly to inquiries via phone or email, demonstrating excellent phone etiquette
Handle front desk responsibilities such as greeting visitors, managing office supplies, and maintaining a professional reception area
Perform general clerical duties including filing, data entry, proofreading documents, and supporting administrative projects

Requirements

Proven experience in office management or administrative roles with strong clerical skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with productivity software
Demonstrated ability to perform accurate data entry with high typing speed and attention to detail
Experience using QuickBooks or similar accounting software is highly desirable
Excellent organizational skills with the ability to multitask efficiently in a busy environment
Strong communication skills in English; bilingual abilities are a plus for diverse client interactions
Prior experience with front desk operations or medical receptionist duties is advantageous
Technical proficiency in computer literacy, including spreadsheet management and document processing
Ability to manage time effectively while maintaining professionalism under pressure
