About the Position
We are looking for a highly motivated, organized, and dependable individual to join our team as a Quotations & Procurement Specialist. This is an excellent opportunity for someone with 1–3 years of purchasing, procurement, quoting, or related experience who is looking for a long-term position with a growing company.
Our company specializes in commercial restaurant equipment, restaurant layout and design, equipment sales, equipment deliveries, used equipment, hood installations, HVAC installations, and smallwares. This position plays an important role in helping our sales and design teams turn customer needs into accurate quotes, source the right products, and ensure equipment is purchased and delivered efficiently.
This is intended to be a long-term growth position. The right person will start with a strong focus on purchasing, vendor communication, and quotations, with the opportunity to take on additional responsibilities, develop specialized knowledge, and grow within the company as their skills and contributions increase.
Key Responsibilities
Purchasing & Procurement
- Source commercial restaurant equipment, smallwares, and related products from manufacturers and vendors.
- Request and compare vendor pricing, availability, lead times, freight costs, and product specifications.
- Place and manage purchase orders with vendors.
- Track orders from purchase through delivery and communicate updates to the appropriate team members.
- Build and maintain strong relationships with manufacturers, distributors, and suppliers.
- Follow up on backorders, delays, shortages, damaged products, and other purchasing issues.
- Research alternative products and vendors when needed to meet customer budgets, specifications, or deadlines.
- Maintain accurate purchasing records and vendor information.
Quotations & Pricing
- Prepare accurate customer and project quotations based on sales, design, and project requirements.
- Review vendor quotes and pricing to ensure accuracy before products are quoted to customers.
- Calculate freight, shipping, applicable costs, and appropriate margins.
- Assist the sales and design teams with product research, pricing, availability, and substitutions.
- Make sure quoted equipment and products meet project specifications and customer needs.
- Update pricing and product information as vendor costs change.
Restaurant Equipment & Project Support
- Develop knowledge of commercial restaurant equipment and how different products work together within a restaurant layout.
- Assist with equipment packages for new restaurant construction, remodels, and replacement projects.
- Work with the sales and design teams to source equipment based on restaurant plans and layouts.
- Assist with used equipment and smallwares purchasing and sales as needed.
- Coordinate with the delivery team to help ensure equipment arrives as expected and projects stay on schedule.
- Help identify potential purchasing or delivery issues before they become problems.
What We're Looking For
- 1–3 years of experience in purchasing, procurement, quoting, equipment sales, construction supply, restaurant equipment, or a related field.
- 1+ years of QuickBooks
- 1+ years of AutoQuotes
- Strong organizational and follow-through skills.
- Excellent attention to detail and accuracy.
- Comfortable communicating with vendors and negotiating pricing when appropriate.
- Strong computer skills and ability to learn new software and systems.
- Ability to manage multiple quotes, purchase orders, and projects at the same time.
- Strong written and verbal communication skills.
- Ability to research products and compare specifications, pricing, and availability.
- Self-motivated and able to work independently while being a strong team player.
- Comfortable working in a fast-paced environment where priorities can change.
- Experience with commercial restaurant equipment is a plus, but we are willing to train the right person.
