PURPOSE:
The Data Monitoring and Compliance (DMC) Supervisor supports and coordinates agency-wide data monitoring and reporting activities in collaboration with the Data Monitoring and Compliance (DMC) Manager . This position collaborates with Directors and Managers to ensure systems are in place to gather accurate and actionable data to monitor the completion of services to children and families. The position troubleshoots data-related issues as they arise, ensuring up-to-date materials and guidance are available to staff. The DMC Supervisor provides training, coaching, and performance feedback to staff related to data entry, documentation, and compliance expectations, and supports staff with instructional materials in multiple formats as well as data entry support for all departments and centers within the Agency. This position will be cross-trained and assigned work for all service areas and is responsible for meeting Head Start Performance Standards and following Agency policies and procedures.
ESSENTIAL JOB DUTIES:
I. INFORMATION SYSTEMS SUPPORT AND DATA OVERSIGHT
A. Develop systems in conjunction with Content Managers/Directors and the DMC Manager to gather and report accurate data on the delivery of services.
B. Provide technical support for child and family data tracking and communication systems, including troubleshooting with staff, coordinating with vendors, assigning system access, and monitoring data security.
C. Provide direct support to Site Managers with documentation requirements when requested
II. STAFF SUPPORT, TRAINING AND SUPERVISION
A. Problem-solve data entry issues and train staff accordingly, creating “How-To” guides.
B. Provide a strength-based coaching, training, and mentoring to Area Assistants to support skill development and performance improvement.
C. Hold regular one-on-one meetings with Area Assistants to provide feedback, coaching, and follow-up on performance expectations.
D. Facilitate Area Assistant meetings and attend regular meetings as assigned by the DMC Manager.
E. Collaborate with Site Manager Lead on staffing and Area Assistant placements.
F. Prepare training materials.
G. Provide training for Area Assistants.
III. PERFORMANCE MONITORING AND QUALITY IMPROVEMENT
A. Provide training and ongoing support to center staff and monitor delivery of services
B. Provide guidance and support for Area Assistants including providing feedback for performance appraisals, assessing areas of growth, and recommendations for future training.
C. Stay current on Head Start and Oregon Prenatal to Kindergarten regulations and requirements.
IV. CLERICAL DUTIES
A. M aintain updated and accessible files.
B. Demonstrate expertise in the utilization of office equipment such as photocopiers, printers, and computers.
C. Take and produce meeting minutes.
D. Cross-train in a variety of service areas.
E. Attend trainings and/or meetings as assigned.
F. Meet with the DMC Manager regularly.

REQUIRED JOB SPECIFICATIONS
Education : High school diploma or equivalent required . Associates or Bachelor’s degree in Data Management, Business Administration, Education, or related field preferred . Relevant experience may be considered in lieu of degree.
Experience : Minimum two years of experience in administrative, data management, compliance, or program support roles required . Experience providing staff training, performance monitoring, and ongoing guidance in early childhood education, Head Start, or human services settings preferred.
Certification or Accreditation : None.
Essential Skills : Keyboarding and computer proficiency to include Microsoft Office Suite, training development, and database programs. High level of proficiency in database management, Excel, and reporting skills. Excellent interpersonal, written, and verbal, communication skills; proficient mathematical abilities; proficient filing and sorting skills (alphabetical and numerical). Ability to perform job duties with a high level of accuracy. Ability to read, write, and communicate effectively in English to understand and follow procedures, ensure safety, and complete required documentation related to the position.

*Bilingual staff must possess sufficient English/Spanish language proficiency to facilitate the translation of verbal and written data in all forms and the ability to provide accurate translated information.
Essential Physical Requirements : This position is classified as Center‑Facing. Ability to lift and carry up to 40 lbs. a distance of 25 feet and to push and/or pull up to 40 lbs. a distance of 20 yards. Sufficient mobility, strength, and range of motion to perform standing, walking, balancing, stooping, bending, crouching, crawling, sitting on the floor, reaching, squatting or kneeling, twisting, and ascending or descending steps. Ability to react quickly to the physical actions of children. Ability to sit for extended periods of time as required by the position. Sufficient stamina to perform job duties at the required frequency. Sufficient vision, hearing, manual dexterity, and eye‑hand coordination to perform job duties safely and effectively. Exposure to Hazards : Repetitive motion tasks, sitting for long periods of time, use of personal computer and other office equipment; driving and riding in a motor vehicle.
Working Conditions: Indoor office; occasional local travel, and out-of-town travel.
