Job Summary

We are seeking a dynamic and highly organized Remote Office Manager to oversee the daily operations of our virtual office environment. This role is vital in ensuring seamless administrative workflows, efficient scheduling, vendor coordination, and team support. The ideal candidate will bring a proactive approach to office management, excellent communication skills, and a passion for creating a productive remote work atmosphere. As an Office Manager, you will be the backbone of our administrative functions, fostering an organized, professional, and positive virtual workplace.

Duties

Manage and coordinate all administrative activities to ensure smooth remote office operations
Oversee scheduling management for team meetings, appointments, and project deadlines using various calendar tools
Supervise administrative staff and provide training & development to enhance team performance
Handle vendor management by coordinating with service providers for office supplies, technology support, and other resources
Maintain accurate bookkeeping, payroll processing, and financial recordkeeping using software such as QuickBooks or similar platforms
Oversee human resources functions including onboarding, employee records management, and compliance with company policies
Manage front desk responsibilities virtually by handling multi-line phone systems, phone etiquette, and client communications
Organize and coordinate company events or team-building activities remotely to foster engagement and collaboration
Ensure all filing systems—digital and physical—are maintained efficiently for easy access and security

Requirements

Proven experience in office management or administrative roles with supervisory responsibilities
Strong proficiency in financial software such as QuickBooks and general bookkeeping practices
Excellent organizational skills with the ability to manage multiple calendars and schedules effectively
Experience with vendor management, payroll processing, budgeting, and financial recordkeeping
Background in human resources or medical office management is a plus but not required
Exceptional communication skills with professional phone etiquette and technical proficiency in multi-line phone systems
Demonstrated ability to lead teams, train staff, and foster a collaborative remote work environment
Knowledge of clerical tasks such as filing, front desk duties, and administrative support functions
Familiarity with office experience tools including calendar management software, project management platforms, and financial software
Ability to adapt quickly to new technologies and maintain high standards of organization in a remote setting
