Full Job Description

About the Position

We are seeking a dependable, compassionate, and detail-oriented Prior Authorization Specialist to join our growing specialty medical practice. This individual plays a vital role in ensuring patients receive timely access to medically necessary procedures by coordinating insurance authorizations, communicating with patients, and collaborating with providers and billing staff.

The ideal candidate is highly organized, has excellent communication and time management skills, and possesses a strong understanding of insurance benefits, medical billing, and the prior authorization process. This position requires someone who can thrive in a fast-paced environment while providing exceptional patient service.

Responsibilities

Obtain and manage prior authorizations for surgical and office-based procedures.
Schedule patients for procedures and maintain clear communication regarding appointment details and authorization status.
Verify insurance eligibility, benefits, coverage, and authorization requirements.
Perform patient cost estimates, including deductibles, copays, coinsurance, and other out-of-pocket expenses.
Educate patients regarding their insurance benefits and financial responsibility while answering questions with professionalism and empathy.
Review clinical documentation for completeness and accuracy prior to authorization submission.
Track, monitor, and follow up on pending authorizations to prevent delays in patient care.
Communicate with insurance companies to resolve authorization issues and provide additional clinical documentation when requested.
Research, appeal, and resolve authorization- and procedure-related claim denials.
Collaborate with providers, clinical staff, and the billing department to ensure seamless patient care and reimbursement.
Maintain accurate documentation within the electronic health record (EHR) and practice management system.
Perform other administrative duties as assigned to support daily office operations.

Qualifications

Prior authorization experience is required.
Medical billing experience is required.
Previous experience in a specialty medical practice (vascular, cardiology, surgery, or similar specialty preferred).
Strong understanding of insurance plans, medical terminology, billing processes, and patient benefits.
Experience calculating and explaining patient financial responsibility.
Ability to interpret insurance policies and authorization guidelines.
Excellent organizational skills with exceptional attention to detail.
Strong communication, customer service, and problem-solving abilities.
Ability to prioritize multiple tasks and meet deadlines in a fast-paced healthcare environment.
Proficiency with electronic health records (EHR) and practice management software.
