Office Clerk – Mandarin Chinese Required

Language Requirement:
Mandarin Chinese proficiency is required for this position because you will communicate regularly in Mandarin with team members and other departments as part of your daily responsibilities. Candidates must be able to speak and understand Mandarin Chinese effectively. Basic Chinese reading and writing skills are preferred but not required.

Position Overview

We are seeking a full-time reliable, organized, and hardworking self-starter to help support the day-to-day operations of our fast-paced food manufacturing business. Part-time positions may be available.

This position involves a variety of administrative and clerical responsibilities, including processing sales and purchase orders, answering phone calls, maintaining records, assisting with basic bookkeeping, coordinating with other departments and providing basic customer service support.

The ideal candidate is dependable, detail-oriented, adaptable and able to manage multiple responsibilities efficiently. Strong communication, organization and time-management skills are important for success in this role.

Responsibilities

Responsibilities include, but are not limited to:

Process daily sales orders and purchase orders for retail customers and vendors.
Maintain organized and accurate files, records and documentation.
Communicate and coordinate with retail locations, production teams and other departments regarding daily operational needs.
Assist with assigning and communicating tasks and responsibilities between departments as directed.
Sort and distribute incoming mail and prepare outgoing mail, packages and other correspondence.
Answer incoming phone calls, take messages, respond to general inquiries, and direct calls to the appropriate person or department.
Use computers and standard office equipment, including printers, photocopiers, scanners and related equipment.
Prepare and maintain documents and spreadsheets using Microsoft Word and Excel.
Perform basic bookkeeping and administrative accounting tasks, including preparing invoices and checks.
Assist with customer service matters, including processing orders, answering questions and helping address customer concerns.
Assist with general office organization and administrative procedures.
Monitor office supplies and report or replenish inventory as needed.
Provide general administrative support to management and other departments.
Perform other office and clerical duties as assigned.

Qualifications & Skills

Previous experience in an office, administrative, clerical, retail or customer service position is preferred.
Ability to speak and understand Mandarin Chinese is required.
Basic Chinese reading and writing skills are a plus but are not required.
Strong communication and interpersonal skills.
Strong organizational, time-management, and multitasking abilities.
Ability to prioritize responsibilities and work efficiently in a fast-paced environment.
Comfortable adapting to changing priorities and day-to-day operational needs.
Familiarity with general office procedures and basic accounting principles.
Comfortable using computers and standard office equipment.
Proficiency in Microsoft Word and Excel.
Strong attention to detail and accuracy.
Dependable, responsible, and willing to learn.
Professional and cooperative attitude with the ability to communicate and work effectively with coworkers, customers, and management.
High school diploma or equivalent required; additional education or relevant experience is a plus.
