Full Job Description

Job Summary

We are seeking a highly professional, organized, and discreet Full-Time Legal Receptionist to join our law firm. In this role, you will serve as the first point of contact for clients, court officials, and visitors. Because you will handle sensitive information daily, confidentiality is a strict requirement for this position.

The schedule for this role is Monday through Friday, 9:00 AM to 5:00 PM

Job Responsibilities:

Client Care & Confidentiality

Greet clients, attorneys, and visitors warmly while maintaining a professional environment.
Protect client privacy by strictly following nondisclosure and firm confidentiality protocols.
Handle sensitive incoming phone calls, screening and routing them with high discretion.
Ensure client data, paperwork, and case details remain hidden from public view at the front desk.

Communication & Office Flow

Manage a multi-line phone system, take detailed messages, and route calls to attorneys or paralegals.
Receive, log, and securely distribute time-sensitive mail, legal couriers, and hand-delivered legal documents.
Answer general email inquiries and direct them to the appropriate legal team member.

Administrative & Legal Support

Schedule client consultations, manage firm calendars, and book conference rooms for depositions or meetings.
Prepare the main conference room before and after client meetings to ensure a neat, private setting.
Assist with basic clerical tasks, including scanning, photocopying, and filing confidential documents.
Track, order, and restock office supplies to keep the front desk and office running smoothly.

Requirements & Qualifications

· High school diploma required; Associate’s degree or other specialized training is a plus.

Proven experience as a receptionist, preferably within a law firm or legal environment.
Demonstrated understanding of legal confidentiality, privacy standards, and discretion.
Strong verbal and written communication skills with a polished, professional demeanor.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic office tech.
Excellent organizational skills and the ability to stay calm and focused under pressure.
