Location: Orchard Medical Group – Salem and Hampstead, New Hampshire
Job Type: Full-Time
Schedule: Monday through Friday; no evenings or weekends

Position Summary

Orchard Medical Group is seeking an experienced Referral Coordinator / Patient Services Representative to support our growing family medicine practice.

The primary responsibility of this position is to coordinate patient referrals, diagnostic imaging, insurance authorizations, and specialty care. The individual will also provide front-desk and patient-services support as needed at our Salem and Hampstead locations.

The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced, team-oriented environment while delivering exceptional service to patients.

Primary ResponsibilitiesReferral Coordination – Primary Function

· Coordinate routine, urgent, and STAT referrals.

· Process diagnostic imaging orders and specialty referrals accurately and promptly.

· Verify insurance eligibility, PCP assignments, referral requirements, and patient benefits.

· Obtain prior authorizations for imaging and specialty services.

· Schedule appointments with specialists and imaging facilities.

· Track referrals and imaging orders through completion.

· Confirm that consultation notes and diagnostic results are received, documented, and routed appropriately.

· Prepare and transmit medical records in accordance with HIPAA requirements.

· Serve as a liaison among patients, providers, specialists, imaging facilities, and insurance companies.

· Educate patients regarding referral requirements, appointment details, and next steps.

· Identify and resolve referral or authorization issues to minimize delays in patient care.

· Maintain accurate and timely documentation in eClinicalWorks.

Patient Services Representative – As Needed

· Provide front-desk coverage at the Salem and Hampstead locations.

· Greet patients and complete check-in and check-out procedures.

· Answer incoming telephone calls and schedule patient appointments.

· Register new patients and update demographic and insurance information.

· Verify insurance coverage and collect copayments and other patient balances.

· Manage patient messages, incoming faxes, and documentation in eClinicalWorks.

· Support providers and team members to maintain efficient daily office operations.

Required Qualifications

· Minimum of two years of experience in a medical office, primary care practice, or specialty practice.

· Experience processing referrals, prior authorizations, and insurance verifications.

· Working knowledge of medical terminology and health insurance requirements.

· Strong organizational, communication, and customer-service skills.

· Ability to prioritize assignments and manage multiple responsibilities in a fast-paced environment.

· Strong attention to detail and commitment to accurate documentation.

· High school diploma or equivalent.

Preferred Qualifications

· Experience using eClinicalWorks.

· Family medicine or primary care experience.

· Workers’ Compensation referral experience.

· Experience working across multiple practice locations.
