Department Information
This position provides comprehensive administrative support within a dynamic, high-volume environment supporting both centralized and dedicated faculty service models. The role is responsible for managing a broad range of transactional, operational, and coordination activities, including processing requests submitted through a centralized intake system, supporting assigned faculty with day-to-day administrative needs, and assisting with lab student-related requests across multiple research environments. The position requires strong organizational skills, responsiveness, and the ability to manage competing priorities across multiple service streams.

This position is located in the Wallace H. Coulter Department of Biomedical Engineering at Georgia Tech and Emory University, and has a student body of 1,200 undergraduates, 260 graduate students, and 70 primary and 73 program faculty. In 2023 US News Graduate Program Rankings placed the department as the #1 ranked department in BME in the United States and our Undergraduate Program as the # 2 department in the United States. Since its beginning, the unique partnership between two of the nation's leading public and private entities has been an innovation engine for research and education. Job Summary

Perform and coordinate administrative and financial support activities required by assigned faculty member(s) and associated research group(s). This position will interact on a consistent basis with: assigned faculty, research group staff and sponsors. This position typically will advise and counsel: research group staff. This position will supervise: NA.

Responsibilities

Job Duty 1 -
Coordinate proposal preparation and submission (data collection, tracking of statistical information, routing, editing).

Job Duty 2 -
Compile information, confer with appropriate staff and prepare drafts of correspondence and reports.

Job Duty 3 -
Process check requests including support documentation. Coordinate monthly purchases statement reconciliation. Enter purchase orders through accounting system.

Job Duty 4 -
Assist PI's regarding interpretation and application of administrative policies and procedures .

Job Duty 5 -
Liaise with financial office in coordinating oversight of sponsored project activity.

Job Duty 6 -
Coordinate hiring process for assigned group by assembling personnel forms and arranging transportation and accommodation for new employees.

Job Duty 7 -
Coordinate and participate in visits, meetings, seminars and video conferences.

Job Duty 8 -
Maintain faculty calendars. Prepare and update faculty CVs and bio-sketches; update faculty members' database.

Job Duty 9 -
Perform other duties as assigned

Required Qualifications

Educational Requirements
Bachelor's Degree or an equivalent combination of education and experience

Required Experience
Five to seven years of job related experience

Preferred Qualifications

Experience providing administrative support in a higher education or research environment
Demonstrated ability to manage high-volume transactional work (e.g., requisitions, expense reports, P-Cards, and spend authorizations) with accuracy and timeliness.
Experience supporting faculty and/or academic programs, including coordination of requests and prioritization of competing deadlines.
Ability to work in both centralized and dedicated service models, balancing multiple stakeholders and service channels.
Experience supporting research labs or programmatic operations, including student-facing administrative tasks.
Familiarity with financial and procurement systems and processes (e.g., travel, purchasing, and reimbursement workflows)
Strong communication and customer service skills, with the ability to respond to diverse needs across faculty, staff, and students.

Knowledge, Skills, & Abilities

SKILLS
This job requires working knowledge of administrative support processes required for an academic/research group within a university environment. Included are skills in financial record keeping, report writing, communications and customer service. Use of office and specialized computer applications and systems is required.
