Job Summary

We are seeking a dynamic and highly organized Construction Company Office Administrator to join our team! In this vital role, you will serve as the backbone of our office operations, ensuring smooth daily functions and supporting our construction projects from administrative planning to vendor coordination. Your energetic approach and exceptional organizational skills will help foster a productive environment, streamline processes, and enhance communication across departments. This position offers an exciting opportunity to be at the heart of a thriving construction company, contributing to project success and company growth.

Responsibilities

Manage daily office operations, including front desk duties, multi-line phone systems, and greeting visitors with professionalism and courtesy.
Oversee schedule management for project timelines, meetings, and appointments to ensure timely execution of tasks.
Coordinate vendor management activities such as procurement, service scheduling, and maintaining positive relationships with suppliers and contractors.
Handle bookkeeping and accounting tasks using QuickBooks, including invoicing, expense tracking, payroll processing, and budget monitoring.
Support human resources functions by assisting with onboarding, training & development programs, employee records management, and maintaining compliance with company policies.
Organize filing systems for project documents, contracts, permits, and other essential records to ensure easy retrieval and security.
Assist in event planning for company meetings or team-building activities to promote a positive work environment.

Experience

Proven administrative experience in an office setting within the construction industry or related field.
Supervising experience preferred to oversee clerical staff or project coordinators effectively.
Familiarity with office management software such as QuickBooks for bookkeeping and payroll tasks.
Strong organizational skills with the ability to manage multiple calendars and schedules efficiently.
Experience in vendor management, contract administration, and procurement processes.
Excellent communication skills with a professional phone etiquette for handling inquiries via multi-line phone systems.
Background in human resources or medical office management is a plus but not required; however, familiarity with HR procedures is advantageous.
