Full Job Description

Legislative Administrative Assistant

The Office of Legislative Counsel (OLC) of the Georgia General Assembly is accepting applications for an outstanding individual to join our administrative staff. Primary responsibilities include:

· Working with the Office Manager and other administrative staff to ensure smooth and efficient office operations;

· Answering and directing phone calls, emails, and other communications to appropriate recipients;

· Support and provide back-up coverage for the Office Manager for various duties, as assigned;

· Maintaining and updating both physical and electronic files and databases;

· Maintaining and ordering supplies;

· Coordinating with the IT office for technical support and equipment service needs;

· Serving as a point of contact for visitors to the office, including elected and other government officials, legislative staff, policy advocates and subject matter experts, and members of the public both during legislative sessions and when the General Assembly is not in session;

· Receiving and processing requests for drafting and other legal services;

· Monitoring and maintaining multiple OLC email accounts;

· Planning and coordinating in-person, virtual, and hybrid meetings;

· Plan and monitor special projects and initiatives;

· Other duties as assigned by the Office Manager and the Legislative Counsel or the Legislative Counsel’s designee(s).

Other responsibilities may include:

· Processing/formatting legislation and other legal documents;

· Conducting basic legal research under the guidance of attorneys; and

· Drafting and proofreading privileged resolutions.

Essential duties include working in a fast-paced environment for extended hours leading up to and during legislative sessions (generally January through March/April each year) and consistently delivering high-quality work in a strictly confidential, time-sensitive, and professional manner at all times.

Required Skills and Qualifications:

· Ability to strictly maintain confidentiality and to handle sensitive information with appropriate professional discretion;

· Ability to display courtesy and assistance to all visitors to the office and via phone calls;

· Ability to pay close attention to detail and ensure accuracy in all tasks;

· Ability to timely manage multiple tasks, prioritize effectively, and maintain a high level of accuracy;

· Ability to communicate clearly and professionally both verbally and in writing;

· Ability to exercise good judgment; and

· Proficiency in Microsoft Office Outlook, Word, and Excel.

Preferred Skills and Qualifications:

· Previous experience working in local or state government service;

· Familiarity with Microsoft Office Teams, Sharepoint, OneDrive, other relevant Microsoft software, and other work management systems and software; and

· College degree (e.g., associate, bachelor’s, etc.).

Physical Demands:

· Work involves sitting, standing, walking, and occasional lifting;

· Work for extended hours, including evenings and weekends, as necessary, particularly leading up to and during legislative sessions.

The Office of Legislative Counsel is a non-partisan joint office of both the Georgia House of Representatives and the Georgia Senate. We provide legal services to all members and committees of the Georgia General Assembly without regard to party or position. The Office of Legislative Counsel must avoid all appearances of bias or partiality and is prohibited from employing persons related to members of the General Assembly or Executive branch or Judicial branch officials.
