Full Job Description

The Office Coordinator is the first point of contact for families and plays a vital role in creating a welcoming, organized, and efficient clinic environment. This position requires someone who is friendly, professional, dependable, and able to thrive in a fast-paced pediatric setting while managing multiple responsibilities at once.

The ideal candidate is highly organized, an excellent communicator, enjoys working with children and families, and is committed to providing exceptional customer service.

ResponsibilitiesFront Office & Customer Service

Answer incoming phone calls in a professional and friendly manner.
Greet families and patients upon arrival.
Check patients in and out for appointments.
Respond to emails, voicemails, and text messages promptly.
Provide exceptional customer service to every family.
Maintain a welcoming, positive, and professional front office environment.

Scheduling & Patient Coordination

Schedule evaluations, treatments, consultations, and follow-up appointments.
Manage therapist schedules efficiently.
Confirm appointments and communicate schedule changes.
Assist with waitlists and filling cancellations.
Coordinate intensive therapy schedules when applicable.
Ensure patient paperwork is completed before appointments.

Administrative Duties

Scan, upload, and organize patient documents.
Maintain accurate patient records.
Verify insurance information when needed.
Collect copays and process payments.
Prepare daily schedules for therapists.
Maintain office supplies and order inventory as needed.
Assist with reports, spreadsheets, and administrative projects.
Keep the reception area clean, organized, and presentable.

Communication

Communicate effectively with therapists, families, physicians, and referral sources.
Relay important information accurately and promptly.
Handle sensitive information with confidentiality and professionalism.
Resolve scheduling conflicts and patient concerns calmly and professionally.

Team Support

Assist therapists with administrative needs.
Help ensure the clinic runs efficiently each day.
Jump in wherever needed to support the team.
Contribute to a positive and collaborative workplace culture.

QualificationsRequired

High school diploma or equivalent.
Previous customer service or administrative experience preferred.
Excellent verbal and written communication skills.
Strong computer skills and ability to learn new software.
Ability to multitask in a fast-paced environment.
Strong organizational skills and attention to detail.
