Job Summary

We are seeking an energetic and highly organized Secretary/Receptionist to be the welcoming face and efficient coordinator of our office. In this vital role, you will manage front desk operations, handle a variety of administrative tasks, and ensure smooth communication between clients, visitors, and team members. Your positive attitude, exceptional organizational skills, and proficiency with office technology will help create a professional and friendly environment that supports our company's success. This paid position offers an exciting opportunity to develop your administrative expertise while contributing to a dynamic team.

Responsibilities

Greet visitors, clients, and vendors with professionalism and courtesy, providing excellent customer service at all times
Manage multi-line phone systems, answer inquiries, direct calls appropriately, and maintain phone etiquette
Handle front desk duties including scheduling appointments, managing mail, and maintaining visitor logs
Perform data entry, filing, and document proofreading to ensure accuracy and organization of records
Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for correspondence, document creation, and calendar management
Assist with basic bookkeeping tasks using QuickBooks or similar accounting software for invoicing and expense tracking
Support office management activities such as supply ordering, maintaining office equipment, and organizing files for easy access

Experience

Previous office or administrative experience is required; clerical experience is highly valued
Proven ability to manage multiple tasks efficiently in a fast-paced environment
Strong computer literacy including proficiency in Microsoft Office applications and Google Workspace
Excellent organizational skills with keen attention to detail in typing, proofreading, and data entry
Bilingual skills are a plus for effective client communication in diverse settings
Experience with front desk operations, multi-line phone systems, and customer service roles preferred
Personal assistant or calendar management experience is advantageous for supporting executive schedules
