HR Administrative Coordinator

North Syracuse, NY | Full-Time, Onsite | $55,000–$70,000

Sapphire Recruitment is seeking an organized and resilient HR Administrative Coordinator for an established manufacturing and distribution company in North Syracuse, NY.

This position supports a busy HR department and a three-shift, union production operation. Extensive HR experience is not required. The ideal candidate will bring strong administrative skills, professionalism, sound judgment, dependable follow-through, and the ability to remain calm when priorities or employee needs become urgent.

Responsibilities

Provide administrative support to the HR Manager, HR Generalists, and production team.
Review employee timecards, maintain vacation schedules, and follow up on related documentation.
Answer phones and assist employees, candidates, vendors, and visitors.
Conduct initial candidate phone screens and coordinate interviews and communications.
Maintain HR records, spreadsheets, schedules, correspondence, and routine data entry.
Order and track office and safety supplies.
Handle confidential employee and business information appropriately.
Respond professionally to shifting priorities and challenging employee situations.
Assist with additional HR and administrative needs as assigned.

Qualifications

Previous office administration, administrative support, or coordinator experience.
Experience in manufacturing, construction, trucking, warehousing, distribution, or another industrial environment is strongly preferred.
HR experience is helpful but not required.
Comfortable working in a fast-paced, direct, and occasionally high-pressure union environment.
Strong organization, attention to detail, communication, and follow-through.
Ability to interact professionally with employees at all levels.
Sound judgment and the ability to remain composed during difficult conversations.
Proficiency with Microsoft Excel, Teams, and Outlook.
Experience with ADP or a similar HR/payroll system is a plus.

Compensation and Benefits

The anticipated salary range is $55,000–$70,000, depending on experience and qualifications. Benefits include medical, dental, and vision insurance, 401(k), life insurance, and paid time off.

This is a fully onsite position within an active three-shift manufacturing and distribution facility.
