Position Summary

Performs a wide variety of clerical support services to assist the efficient operation of the Transportation Department while maintaining confidentiality.

Duties and Responsibilities

(These duties and responsibilities are judged to be "essential functions" in terms of the Americans With Disabilities Act or ADA)

Answer high volume phone calls & two-way radio. Greets visitors and assists them.

Monitor budget and generate reports for Director’s review including P-card and mileage reports.
Process drivers’ payroll and monitor drivers’ attendance.
Maintain master MDOS driver’s license spreadsheet.

Monitors driver information, insurance/registration information, etc.
Process drivers’ license records through the MDOS website
Schedule appointments and interviews, follow up new employee recommendations and processing.
Monitor, update information and run reports for Fueling and Tank Leak systems.
Assigns drivers fuel fob.
Update Pupil Transportation Website via Foxbright.
Process purchase orders, accounts payables .
Order & maintain department supplies.
Process maintenance work orders.
Process accident & incident reports.
Verifies student data in PowerSchool and TransFinder.

Edits and assists with bus routes, driver directions and bid sheets.
Compiles alternate addresses for Supervisor once information is changed in PowerSchool.
Review the transportation department main email account, provide answer or forward to appropriate administrators.
Operate office machines, such as photocopiers, scanners, computers, printers, calculators, facsimile machines, voicemail systems, two-way radio and telephones.
Communicate with, vendors, schools, parents, employees, students, and other individuals to answer questions, disseminate or explain information and address complaints.
Other duties as assigned by administration.

Education:

This position requires high school diploma or equivalent.

Experience:

One year of related experience providing clerical support in an office setting required, two years preferred.

Knowledge:

Knowledge of basic math, required.
Knowledge of principles and processes for providing customer services, required.
Knowledge of administrative and clerical procedures and systems such as word processing, spreadsheets, database, managing files and records, designing forms, and other office procedures, required.
Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar, required.

Abilities:

Ability to read and interpret district policies, guidelines, and government regulations, required.
Ability and willingness to participate in training classes, required.
Ability to write routine reports and correspondence, required.
Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form, required.
Ability to multi-task, meet deadlines, be organized and work in a fast-paced work environment, required.
Ability and willingness to work cooperatively with teachers, community, students and staff, required.
Ability to read, write, and communicate effectively in English to perform essential job duties, including but not limited to understanding and following safety instructions, responding appropriately to emergency situations, completing documentation, and interacting with English-speaking staff, students, community and supervisors, required.
