Full Job Description

Overview
We are seeking a detail-oriented and organized Job Costing Bookkeeper to support our accounting and operations teams. This position is responsible for tracking project costs, reviewing vendor bills and purchasing documents, maintaining accurate financial records, and preparing job profitability reports.

The ideal candidate is comfortable working with numbers, Excel, and QuickBooks Online. Construction or job-costing experience is preferred, but we are also open to recent accounting graduates who are detail-oriented, reliable, and willing to learn job-costing procedures.

Key Responsibilities

Track labor, material, equipment, subcontractor, fuel, and other costs for each job.
Enter and categorize vendor bills and expenses in QuickBooks Online.
Assign transactions to the correct customer, project, location, department, and expense account.
Match purchase orders, vendor invoices, packing slips, and receiving records before bills are approved for payment.
Follow up with vendors, warehouse staff, and project teams regarding missing invoices, receipts, packing slips, or other supporting documents.
Review employee timecards and allocate labor hours to the correct jobs.
Assist with tracking overtime, payroll-related job costs, and loaded labor costs.
Maintain job-costing spreadsheets and update daily, weekly, and monthly reports.
Compare estimated costs with actual job costs and identify significant variances.
Review job profitability, including revenue, labor costs, material costs, and gross profit.
Track materials issued to and returned from each job.
Reconcile vendor statements and research missing or duplicate bills.
Review company credit card and bank transactions to ensure receipts and supporting documentation are provided.
Assist with accounts payable, accounts receivable, bank reconciliations, and month-end closing.
Maintain organized electronic and physical accounting records.
Communicate discrepancies or unusual transactions to the Accounting Manager.
Assist with additional accounting and administrative duties as needed.

Qualifications

Associate’s or bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
Experience with QuickBooks Online.
Previous bookkeeping, accounts payable, or job-costing experience.
Proficiency in Microsoft Excel or Google Sheets.
Strong attention to detail and accuracy.
Ability to organize and review a high volume of transactions and supporting documents.
Strong analytical and problem-solving skills.
Ability to communicate professionally with vendors, employees, and management.
Ability to work independently, meet deadlines, and manage multiple priorities.
Willingness to learn the company’s operations and job-costing procedures.

Preferred Skills

Experience with purchase orders, packing slips, vendor invoices, and three-way matching.
Understanding of job profitability, cost allocation, and budget-to-actual reporting.
Experience reviewing timecards and allocating payroll costs by job.
Familiarity with construction accounting, work in progress, or project-based accounting.
Bilingual in Spanish and English.
