Senior QuickBooks Online Bookkeeper – In-House

100% Onsite – Augusta, GA 30906

Pay: $25.00 per hour
Schedule: 32 hours per week
Job Type: Permanent Part-Time / 32 Hours Weekly
Overtime: No overtime without prior approval

Position Overview

A privately owned group of three local businesses is seeking a highly experienced career bookkeeper with extensive hands-on QuickBooks Online experience.

This is not a general office, HR, payroll, administrative, or entry-level accounting position.

We are specifically looking for someone whose professional background has been focused primarily on bookkeeping, preferably in a CPA office, bookkeeping firm, accounting practice, or multi-client bookkeeping environment.

Our books are currently more than one year behind, so the first major priority will be bringing all three businesses fully current. We need someone who can independently review prior transactions, reconcile accounts, identify discrepancies, correct bookkeeping errors, and establish reliable systems going forward.

Once the books are current, this will remain a long-term 32-hour-per-week position with ongoing bookkeeping and office-management responsibilities.

Who We Are Looking For

The ideal candidate has spent the majority of their recent career performing bookkeeping as their primary job responsibility.

We are looking for someone who has substantial experience with:

QuickBooks Online
Full-charge bookkeeping
Catch-up and cleanup bookkeeping
Bank and credit-card reconciliations
Accounts Payable
Accounts Receivable
General ledger maintenance
Journal entries
Loan and liability reconciliation
Month-end closing
Profit & Loss Statements
Balance Sheets
Multi-company bookkeeping
Working independently with minimal supervision

CPA office, bookkeeping firm, or accounting-firm experience is strongly preferred.

Important

If your primary professional background is in HR, office management, payroll, banking, dealership administration, daycare administration, clerical work, or general administration, this position may not be the right fit unless you also have extensive hands-on full-charge bookkeeping experience.

We are not looking for someone who has occasionally performed bookkeeping duties as part of another position.

We are looking for a bookkeeper by trade.

Initial Priority – Bring Books Current

Our records are currently more than one year behind.

The first major responsibility will be to bring all three businesses fully reconciled and current.

Responsibilities include:

Review existing QuickBooks Online records
Identify missing, duplicate, incorrect, or uncategorized transactions
Reconcile bank accounts
Reconcile credit-card accounts
Reconcile loans and equipment financing
Correct historical bookkeeping errors
Bring Accounts Payable and Accounts Receivable current
Clean up general ledger accounts
Review intercompany transfers
Properly record owner contributions, distributions, and transfers
Prepare appropriate journal entries
Organize supporting documentation
Work with ownership to resolve missing information
Coordinate with an outside CPA when necessary
Prepare accurate Profit & Loss Statements and Balance Sheets

Ongoing Responsibilities

Once the books are current, responsibilities will include:

Maintain accurate and separate books for all three businesses
Perform ongoing bookkeeping in QuickBooks Online
Enter bills, invoices, deposits, payments, and expenses
Manage Accounts Payable and Accounts Receivable
Reconcile all bank and credit-card accounts monthly
Maintain general ledger accuracy
Prepare monthly financial statements
Monitor cash flow and upcoming obligations
Maintain loan and financing records
Maintain vendor W-9 records
Prepare year-end 1099 information
Assist with payroll documentation
Track property-level income and expenses
Assist with job costing
Track outstanding customer invoices
Coordinate with outside CPA for tax preparation and reporting

Office Management Responsibilities

After the bookkeeping backlog is under control, the position will also assist with:

Vendor and contractor documentation
Following up on missing invoices and receipts
Collecting W-9s and Certificates of Insurance
Maintaining organized business records
Tracking outstanding estimates and paperwork
Monitoring payment and renewal deadlines
Assisting with approved purchasing
Preparing weekly financial and administrative summaries
General office-management support

Required Qualifications

5+ years of professional bookkeeping experience
Advanced QuickBooks Online proficiency
Bookkeeping must have been a primary responsibility in prior positions
Strong reconciliation experience
Strong AP and AR experience
Experience preparing financial statements
Strong understanding of bookkeeping and accounting principles
Strong Excel and computer skills
Ability to independently identify and correct bookkeeping errors
Ability to manage multiple sets of books
Excellent attention to detail
Strong organizational skills
Ability to work independently
Ability to maintain confidential financial information

Strongly Preferred

Prior experience working in a CPA office
Prior experience working for a bookkeeping or accounting firm
Multi-client bookkeeping experience
Catch-up or cleanup bookkeeping experience
Multi-company bookkeeping experience
Real estate, construction, service-business, or hospitality accounting experience

Work Environment

This is a 100% in-house, onsite position in Augusta, GA 30906.

Remote and hybrid work are not available.

Compensation & Schedule

$25.00 per hour

32 hours per week

This is intended to be a permanent, long-term position.

No overtime without prior approval.
