Position Title: Human Resources Associate (Applicant and Employee Support)

SUMMARY:
Under basic supervision, performs administrative and technical duties in the support of the recruitment and staffing processes, and provides assistance to both current employees and applicants. Assists with new hire and transfer data entry, background and reference checks, and all other processes associated with hiring staff for all district positions.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Enters employee transactions including hires, position changes and transfers, and other status changes into the district’s HR Information System. Validates and ensures accuracy of data entry of personnel information.

Assists with providing applicants with pre-employment information .

Supports the Coordinator/Specialist for Recruitment and Staffing to coordinate personnel actions with internal departments such as payroll, finance, benefits, and education technology.

Assists with preparing status reports and all necessary materials for.

Generates Personnel Action Forms, and other documents from the online applicant system to ensure timely processing for new hires.

Conducts reference checks and background checks for all prospective new hires and rehires.

Provides initial support to applicants and employees during the application process with technical difficulties concerning the Human Resources Information Systems (HRIS).

Completes E-verify for new hires and reports all new hires and rehires to the South Carolina new hire reporting system.

Assists with and participates in training relevant to applicant processing and the recruitment process.

Assists with the preparation of recruitment events and activities associated with recruitment and retention initiatives.

Assists with updating and compiling recruitment packets.

Assists visitors, answers telephones, directs callers to appropriate staff or takes messages and provides factual information regarding processes, procedures, and regulations.

Performs record keeping and clerical functions (e.g. word processing, typing, utilizing excel, copying, faxing, data inputting, transmitting, telephoning, filing, taking messages, responding to written and verbal inquires, etc.) to support the needs of the department.

Files information in current electronic personnel files ; ensures personnel records are up-to-date and maintained confidentially.

Ensures compliance with district, local, state, and federal employment policies, procedures, and guidelines.

Serves as back-up for the district office receptionist.

Performs other duties as may be assigned.
JOB SPECIFICATIONS
EDUCATION and/or EXPERIENCE:
Associate Degree preferred; High school diploma or general education degree (GED) plus two years of human resources or related experience or training required.
Such alternatives to the above qualifications as the Board may find appropriate and acceptable.

LANGUAGE SKILLS:
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write and/or type routine reports and correspondences. Ability to speak effectively before groups of district personnel or organizations.
MATHEMATICAL SKILLS:
Ability to add, subtract, multiply, and divide in all units of measurement, using whole numbers, common fractions, and decimals. Application of percentages, ratios, and proportions to practical situations is required.
REASONING ABILITY:
Ability to interpret and carry out instructions furnished in written, oral, diagram or schedule form. Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to analyze information and use logic to address work related issues and problems. Ability to quickly assess employee, departmental, and administrative needs and provide timely feedback.
OTHER SKILLS and ABILITIES:
Ability to perform duties with awareness of all district requirements and Board of Education policies.

Specific vision abilities required by this job include close vision, distance vision. Some driving required. Duties of the job require frequent use of a computer monitor and related equipment.

Level 111 Pay Scale
The terms of employment detailed in this job description are based on full time employment during the school year. Conditions of employment adjusted for part time employees or individuals who are hired for less than an entire school year.

Performance of this job evaluated annually according to Board Policy.
