College/Department Information

The Medical College of Georgia (MCG) is one of the nation's largest medical schools by class size, with 304 students per class. The MCG educational experience is anchored by the main campus in Augusta, with regional clinical campuses for third- and fourth-year students across the state, and two four-year campuses located in Athens (in partnership with the University of Georgia) and in Savannah (in partnership with Georgia Southern University). MCG's expanding partnerships with physicians and hospitals across Georgia currently provide more than 350 sites where students can experience the full spectrum of medicine, from complex care hospitals to small-town solo practices. MCG and its teaching hospitals also provide postgraduate education to approximately 575 residents and fellows in 50 different Accreditation Council for Graduate Medical Education-approved programs. Our researchers and clinicians focus on what most impacts the health of Georgia's and America's children and adults, including cardiovascular biology and disease, cancer, neurosciences and behavioral sciences, public and preventive health, regenerative and reparative medicine, personalized medicine and genomics. Our physician faculty also share their expertise with physicians and patients at about 100 clinics and hospitals statewide.

Job Summary

The Administrative Assistant 2 provides administrative and operational support for the Department of Artificial Intelligence and Health. This position is responsible for ensuring the efficient day-to-day functioning of the department through effective office management, coordination of activities, and support of faculty, staff, and leadership. The Administrative Assistant 2 manages a wide range of administrative functions and ensures compliance with institutional policies and procedures. This role requires the ability to exercise independent judgment, initiative, and discretion while handling sensitive information and complex administrative matters in a fast-paced, interdisciplinary academic environment.

Responsibilities

The responsibilities include, but are not limited to:

Administrative Support and Office Operations

Coordinates and oversees daily administrative operations of the department to ensure efficiency and effectiveness.

Provides direct administrative support to department leadership and faculty, including managing calendars, scheduling meetings, and preparing correspondence.

Serves as the primary point of contact for the department, responding to inquiries and directing communications appropriately.

Maintains departmental files, records, and documentation in compliance with university and state guidelines.

Financial and Procurement Support

Initiates and processes purchasing requests, travel authorizations, reimbursements, and other financial transactions in accordance with institutional policies.

Coordinates with finance and procurement offices to ensure timely processing and compliance

Human Resources and Personnel Support.

Assists with on-boarding and off-boarding processes for faculty, staff, and student employees.

Assist in coordinating personnel-related documentation and serves as liaison with Human Resources.

Supports timekeeping, leave reporting, and related administrative processes.

Event and Program Coordination

Coordinates logistics for meetings, seminars, and departmental events, including scheduling, materials preparation, and communication with participants.

Provides support for faculty recruitment activities, including interview coordination and candidate visit logistics.

Compliance and Special Projects

Ensures adherence to university policies, procedures, and regulatory requirements.

Assists with preparation of reports, presentations, and data tracking.

Participates in special projects and performs other duties as assigned.

Other

Perform all other related duties as assigned.

Required Qualifications

Associates degree from an accredited college or university in a related field with at least four years of progressively responsible experience in administrative support positions.

High school diploma/GED from a recognized State or Federal accrediting organization with at least seven years progressively responsible experience in administrative support positions.

Proficiency with Microsoft Office (Word, Excel, Access, and PowerPoint) and other computer software/databases.

SKILLS

Shift/Salary/Benefits

Shift: Days/M-F

Pay Band: B5

Salary Range: $17.88/hourly - $21.92/hourly

Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position.

Conditions of Employment
